Job Summary:
The Equipment/Supply Supervisor encompasses many duties, but at large will be tasked with managing the use of medical equipment and supplies, responsible for the application and removal of casts, orthopedic splints, and devices, and for tracking and documentation of all DME equipment and devices for billing purposes. The candidate must be a good communicator, as the position requires interacting with customers, vendors, representatives, employees, and providers. This person must have the ability to work both with a team and independently, have excellent organizational skills, and the ability to use various computer software systems. This person must be able to multitask, prioritize work, and be able to balance a high-stress and high-demand work environment while maintaining professionalism. The position serves as a liaison between the facility, vendors, representatives, patients, and providers to foster healthy business relationships. Reports to the Director Orthopedic Trauma Service.
Performance Expectations:
Items considered essential functions of the job are listed below.
- Responsible for providing all supplies and equipment and in-service training for staff as it relates to Trauma Surgery Clinic.
- Provides controls and systems to ensure that medical supplies are maintained at appropriate and cost-effective inventory levels
- Provides for the purchase, maintenance and repair of equipment in a cost-effective manner
- Assist with equipment predictions for capital budget process for the department, including obtaining quotes.
- Demonstrates the ability to check expirations dates and communicate with vendors to help keep supplies from expiring.
- Supports and participates in supply shrink reduction programs
- Manage documentation of application of casts, splints, orthopedic devices and patient education for billing purposes
- Provides support to Physicians, Physician Assistants, Nurse Practitioners, Registered Nurses, and Licensed Practical Nurses in the delivery of care
- Apply, adjust, fit and remove all common orthopedic devices including, orthopedic casts, splints, braces, slings, and other similar devices and appliances ordered by a physician or other practitioner
- Prepares equipment, supply, and distribution reports in an accurate and timely manner.
- Ability to effectively communicate with patients, physicians, and co-workers in a manner consistent with a customer service focus and application of positive language principles.
- Responsible for maintaining or answering for the monthly budgeted expenses for medical expenditure.
- Assist providers and ensure maximum efficiency
- Set up for procedures and examinations
- Prepare and break down rooms for clinic
- Maintain work area and examination/procedure rooms
- Coordinates work with Biomedical, Engineering, Information Technology, Purchasing, and Material Supply
- Maintains cast cart re-order and change supplies utilized at the time of the service
- Maintains updated inventory of orthopedic equipment as needed and submit purchase order for needed supplies
- Offers orthopedic training of splints, braces and slings to employees as needed
- Serve as a liaison with sales representatives to review and evaluate products
- Assists in running clinic including taking patient calls, scheduling appointments, coordinating patient flow, rooming patents, and assisting with referrals to other services such as physical therapy, or outside consultations or services
- Collaborates with all members of the Trauma Team by actively communicating and reporting pertinent information in a comprehensive manner.
- Exhibits correct use of Lawson
- Performs user/operator maintenance of equipment in accordance with manufacturer and biomedical services directives.
- Serves as a point of contact for vendor/ representatives in Trauma Services department.

Qualifications:
Education/Skills
- High school diploma or equivalent required; two additional years of college preferred.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Experience with Lawson
Work Experience:
- Prior work experience preferred in equipment and supply distribution
- Orthopedic Technician experience preferred
- Casting experience preferred
