Job Title: Office Associate
We are seeking an organized and detail-oriented Office Associate to support a dynamic financial investment company located in Back Bay. The ideal candidate will thrive in a mail and print production environment and demonstrate a client-first mentality. This role requires an understanding of how each piece of mail and print request contributes to the overall success of our operations, whether it’s marketing presentations, business cards, or office supplies.
Pay - Rate: $21.63/hr
Shift: 8:00am - 5:00pm; 8:30am - 5:30pm; Monday - Friday
Key Responsibilities:
Mail Services:
- Receive, sort, deliver, and track incoming and outgoing packages (FedEx, UPS, and other couriers).
- Transport mail and packages to designated floors within the building.
- Digitize mail as needed and handle general mail distribution.
- Prepare outgoing shipments and coordinate pick-ups.
- Provide exceptional customer service by responding to client inquiries via email, phone, and in person.
- Process daily USPS mail pickups.
Print Production:
- Experience with Canon Color copiers and Fiery System, including file manipulation, imposition, and producing full-bleed print jobs.
- Utilize online print submission software for efficient job management.
- Expertise in GBC binding, particularly coil binding.
- Troubleshoot machine issues and ensure print quality standards are met.
- Assist with mail merge projects and multiple file integrations.
Key Skills and Qualifications:
- Strong attention to detail and the ability to follow established processes and procedures.
- Ability to think creatively and solve complex print-related challenges.
- Excellent communication skills, both verbal and written.
- Strong organizational skills, with the ability to manage multiple projects and deadlines.
- Proficient in Outlook, Word, and Excel.
- Comfortable taking direction and working in a fast-paced, corporate environment.
- Demonstrated ability to maintain professionalism while working with senior staff and diverse teams.
- High level of emotional intelligence and client-first approach.
Desired Experience:
- Previous experience in mail and print production, with a preference for familiarity with package tracking tools (e.g., PS Track).
- Hands-on experience with high-volume print jobs and office equipment.
- Ability to deliver outstanding customer service while managing various requests.
Education and Experience:
- Associate’s degree preferred, but not required.
- High school diploma or GED required.
Physical Requirements and Work Environment:
- Ability to work in a busy office setting, occasionally lifting and transporting packages.
- Ability to work under pressure with time-sensitive tasks.
