The Coordinator of Compliance, reporting to the Executive Director, is a key member of the Compliance Excellence Leadership Team. This individual will provide proactive guidance and ensure adherence to federal, state, and local regulatory requirements across the college. The position involves overseeing compliance efforts, leading a team responsible for monitoring specified compliance areas, and promoting strategies to safeguard data integrity. This role will serve as a trusted resource for stakeholders by effectively communicating regulatory requirements and ensuring reliable compliance information is available.
Minimum Qualifications
Required:
- Associate’s degree and five (5) years of compliance related experience in an educational environment. Note: Degrees and hours must be from a college accredited by a United States Department of Education accepted accrediting agency such as SACSCOC.
- Experience in student information and content management systems.
Preferred:
- Experience in an educational environment.
- Proficient in Colleague by Ellucian, OnBase, or other student information and content management systems.

- Provide expert guidance on federal regulations, North Carolina General Statutes, the State Board of Community Colleges Code, and related memoranda.
- Assist in the collection, organization, analysis, and training of employees regarding applicable policies, procedures, and processes.
- Contribute to the development and revision of policies to ensure alignment with federal and state regulations and the college’s goals.
- Serve as a resource for other divisions with questions regarding regulations and policies.
Regulatory Guidance and Training
- Develop and maintain a central repository for compliance-related documents, including partnerships, external agencies, federal and state entities, reporting timelines, and accreditation reviews.
- Establish and enforce compliance standards, including guidelines for document retention (electronic and paper) to detect and improve compliance-related processes.
- Lead an internal compliance committee to periodically evaluate the effectiveness of compliance efforts.
- Communicate compliance standards and procedures to all areas of the college in a clear, practical manner.
- Collaborate with senior management, faculty, staff, and external agencies to ensure alignment with compliance guidelines.
- Design and implement compliance initiatives in response to changes in laws and regulations.
- Coordinate with divisions to assign responsibility for compliance-related tasks and ensure proper documentation.
- Partner with the Internal Audit Coordinator to schedule internal reviews in preparation for federal and state audits.
- Research compliance best practices in other colleges and universities and integrate these findings into the college’s efforts.
- Conduct periodic reviews of internal audit plans to ensure they meet compliance requirements.
- Collaborate with the internal audit team to identify concerns and provide targeted training to staff on compliance-related topics.
- Work with federal and state compliance officers to ensure the college is fully adhering to applicable regulations.
- Address non-compliance issues as they arise and provide appropriate training to prevent recurrence.
- Investigate data integrity complaints and implement business process improvements to ensure high-quality data management.
- Update and create job aids for staff regarding compliance processes and best practices.
Leadership and Oversight
- Lead the development and maintenance of a continuous, proactive compliance program.
- Oversee the creation of compliance education and training programs.
- Ensure appropriate record-keeping processes are in place to document all compliance efforts.
- Lead compliance-related data mapping, testing, and cleanup efforts as part of the Banner ERP system implementation.
- Serve as a backup for testing and validating new patches for the NCCCS system.
- Lead efforts to clean up duplicate records in the Colleague Institution system.
- Develop and document best practices for using electronic and other data management systems across the college.
- Ensure compliance with FERPA regulations in managing student records.
- Support the creation and delivery of data and compliance training for system users.
- Coordinate and validate the workload of compliance officers.
- Represent the Compliance Department on the Data Governance Committee.
- Create executive-level reports to ensure transparency and accountability in compliance efforts.
- Identify and implement workflow improvements to enhance operational efficiency.
- Other duties as assigned by the Executive Director or Chief Operations Officer.

- Serve on college committees as required.
- Cross-train with other teams for business continuity.
- Attend relevant training, conferences, and professional meetings.
- Participate in college-wide events such as Convocation and All Teams Day.
- Pursue ongoing professional development in areas of expertise aligned with the college’s strategic goals.
- Collaborate with the System Office to test new NCCCS application processes and data cleanup initiatives.
