What are the responsibilities and job description for the Specialist, Apprenticeships (Grant-funded) position at Forsyth Technical Community College?
The Specialist, Apprenticeships reports directly to the Coordinator of Apprenticeships. The Specialist will manage the electronic tracking and documentation for all aspects of Forsyth Tech’s Learn and Earn Apprenticeship Program (LEAP) and will have primary responsibility for communication with potential and current apprentices. The Specialist, Apprenticeships will champion a team environment dedicated to providing curriculum CTE students/apprentices with the best chance of success in the LEAP program, promote teamwork to accomplish goals and encourage collaboration and cross-functional professional development of everyone.

- Associate degree or higher. Note: Degrees and hours must be from a college accredited by a United States Department of Education accepted accrediting agency such as SACSCOC.
- At least one year of related experience with administration and communications in a data-intensive environment.
- Ability to autonomously manage and organize multiple priorities in a fast-paced environment with great attention to detail.
- Excellent proofreading skills.
- Excellent interpersonal, organizational, and telephone/email etiquette skills.
- Able to communicate, both verbally and in writing, with all levels of individuals.
- Able to operate basic office equipment including copier, printer, computer, scanner, and shredder.
- Proficient with Microsoft Office suite (Outlook, Excel, Word, PowerPoint).
- Bachelor’s degree.
- Experience with Office 365, Microsoft Applications such as Forms and Teams, client management systems
- Experience in an academic or employer setting with students in internship, apprenticeship, or other experiential learning programs.
- Be a welcoming first point of contact for the apprenticeship program for students, faculty, staff and businesses visiting the office, calling on the phone, or making e-mail inquiries.
- Complete and submit all program documentation to ApprenticeshipNC as needed.
- Assist potential apprentices to navigate the application process.
- Complete course build requests and registrations for pre-apprenticeship classes.
- Complete and submit apprentice agreements using the ApprenticeshipNC database, as well as mark them complete at the end of each program.
- Track all aspects of each apprentice’s college courses (related instruction) and monitor skills learned on the job (work processes) using tracking software.
- Update tracking software to reflect changes in program, including additional curriculum courses or on-the-job skills.
- Complete all documentation for grants and other funding sources including creating vouchers and paying invoices
- Responsible for tracking program data related to program development in support of the college’s strategic plan.
- Ensure documentation for ApprenticeshipNC compliance process is readily available and stored for shared access.
- Prepare any apprenticeship reports required by the college, a grant entity, or ApprenticeshipNC.
- Participate in the planning and execution of LEAP events, including the annual apprentice signing event.
- Build collaborative relationships with colleagues across the college;
- Provide staff support for Apprenticeship Coordinator and Director of Experiential Learning .
