What You'll Do:
- Provide Administrative Aid: Assist with various projects, including scheduling meetings, taking minutes, transcribing notes, and composing memos.
- Mail Management: Handle mail pickup and delivery.
- Prepare Purchase Orders: Prepare purchase orders, track budgets, and reconcile invoices with the accounting department.
- Maintain Confidentiality: Ensure the highest level of confidentiality within the department.
- Resource for Activities: Act as a resource regarding departmental activities and operations for the Executive Hotel Director and other department executives.
- Project Tracking: Maintain project tracking spreadsheets and business calendars.
- Advise Management: Inform the Executive Hotel Director of any relevant or important information pertaining to departmental responsibilities or company operations.
- Schedule Appointments: Schedule appointments for the Executive Hotel Director and other management.
- Purchasing Administrator: Serve as the purchasing administrator for Hotel Operations.
- Greet Visitors: Greet visitors, ascertain the nature of their business, and escort them to the appropriate individual.
- Organize Files: Organize and maintain an accurate filing system for Hotel Operations.
- Handle Donations and Sponsorships: Receive, process, track, and report on all donation and sponsorship requests; serve on the Donations and Sponsorship Committee.
- Manage Training and Travel: Administer all training and travel requests, scheduling with p-card.
- Lead by Example: Set a positive example for all employees.
- Work Independently and as a Team: Work both independently and dependently as a member of a team.
- Maintain Confidentiality: Maintain strict confidentiality of all information processed through the department, including records, reports, documents, and conversations.
- Practice Safe Work Habits: Practice safe work habits in the performance of the job.
- Assist with Software: Assist Hotel Departments/Management with operation-designated purchasing software input (billing) and other administrative duties as requested.
- Use PMS: Be familiar with PMS (Property Management Software) to pull reports and other pertinent information as requested by the Executive Hotel Director and/or Hotel Operations Director.
What We're Looking For:
- High School Diploma or GED: Required.
- Experience: Three or more years in an executive assistant or similar role preferred; knowledge in Hotel PMS software preferred.
- Preferred Skills: Office Occupations certificate with five or more years of administrative experience and Hotel PMS experience preferred. AA or BA in Business Management or a similar field and hospitality experience preferred.
Education and/or Experience:
- Entry Level (G9): High School Diploma or GED with three or more years in an executive assistant or similar role preferred; knowledge in Hotel PMS software preferred.
- Experienced Level (G10): Office Occupations certificate with five or more years of administrative experience and Hotel PMS experience preferred.
- Advanced Level (G11): AA or BA in Business Management or a similar field and hospitality experience preferred.
Certificates, License, and Registrations:
- Supporting Documents: Must submit supporting documents of education and training (High School Diploma, GED, Degree, and Certificates).
- Driver’s License: Must obtain and maintain a valid Driver’s License and qualify for Fleet Management coverage on company vehicles.
Physical Demands:
- Communication: Ability to talk and hear regularly.
- Mobility: Ability to walk, sit, and use hands and fingers to handle or feel objects, tools, or controls.
- Occasional Physical Activity: Occasionally required to reach with hands and arms, sit, climb, balance, stoop, kneel, crouch, or crawl.
- Vision: Specific vision abilities required, including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
- Lifting: Occasionally lift and/or move up to 50 pounds.
Work Environment:
- Public Environment: Public work environment with exposure to moving mechanical parts, fumes, tobacco smoke, and airborne particles.
- Noise Level: Moderate noise level, increasing to loud on the casino floor.
