Position Summary:

The Student Services Specialist will assist the Registrar’s Office in providing a wide array of quality services to students. In 2024, Fort Lewis College implemented a new Student Information System (SIS), Workday Student, and this position will support existing staff in the Registrar’s Office while they continue to build best practices associated with the new SIS. Interacting professionally and effectively with prospective, current, and former students, as well as faculty and staff, the Student Services Specialist will play a key role at an important time. Responsibilities involve multiple facets of student records management and enrollment services. The duties of this position will focus on Registrar functions, but the incumbent will regularly consult with and support Admissions, Financial Aid, and Skyhawk Station (Fort Lewis College’s one-stop center). This staff member must have the ability to excel in both team and individual settings and must be adept at multi-tasking and problem-solving in a fast-paced environment. The incumbent in this position will perform a variety of student service functions and is expected to stay current with and apply federal laws and Fort Lewis College policies and procedures. This position is also expected to promote communications between the Registrar’s Office and other offices within Enrollment Management. In addition to supporting existing staff in a cross-functional role, this position is responsible for assisting students, providing them with superior service, and facilitating their academic success.

Job Description:

Essential Functions and Responsibilities 

General Support Services 

  • Supports operations of the Registrar’s Office, during a large-scale student information system implementation. 

  • Identifies opportunities for improvements to workflows and procedures, provides recommendations and solutions to streamline processes; investigates and resolves complex student records issues using a student information system and other software applications. 

  • Plays an integral role in collaborative problem-solving with team members; cooperates with other employees in the spirit of teamwork and collegiality; interacts with co-workers and supervisors with patience, integrity, and professionalism. 

  • Provides customer service to a wide variety of clients such as prospective, current, and former students, parents, staff from other offices, the general public, and external agencies/organizations. 

  • Assists in answering telephones, greeting visitors, responding to emails, and works with a ticketing system (Slate Student Success) to prioritize and process requests. 

  • Answers specific questions and provides general information about Fort Lewis College; helps students understand and navigate college policies and procedures. 

  • Receives, interprets, analyzes, scans, and processes forms/requests submitted by students, faculty, staff, potential employers and others; monitors a variety of email boxes to ensure prompt handling. 

  • Resolves issues that arise while processing forms and requests; uses sound judgement to communicate effectively and professionally with those in need of assistance. 

  • Utilizes best practices for all aspects of records management and processing; applies knowledge of institutional, state, and federal regulations. 

  • Protects the privacy of student records; maintains confidentiality in accordance with all applicable policies, rules, regulations, and laws, including department policies, Fort Lewis College policies, and the Family Educational Rights and Privacy Act (FERPA). 
     

Registrar and Records Management 

  • Uses student records systems, databases, and applications to perform registrar functions, including course registrations/adds/drops, withdrawals, transfer credit evaluations, production of transcripts, enrollment verifications, degree certifications, grade reports, degree audits, major/minor declarations, catalog year changes, document imaging, and digital workflows. 

  • Advises students and parents regarding academic policy and procedure; explains procedures and services provided by the Registrar’s Office. 

  • Assists with preparation of the schedule of courses, including data entry and proofing, as needed. 

  • Posts external credit such as transfer credit, study abroad, credit by examination, AP, IB, and Cambridge Credit to official academic records. 

  • Processes beginning of semester course purge requests for students registered in classes for which they do not meet requirements or prerequisites. 

  • Researches and provides historical course descriptions requested by alumni and representatives from other institutions. 

  • Assists with creating training materials, manuals, and documenting procedures. 

  • Assists with commencement/graduation-related activities. 
     

Enrollment Management 

  • Assists Skyhawk Station staff with Registrar Office-related issues as they arise. Answers questions from students, faculty, staff, and advisors, and assists them in person, by videoconferencing, and by phone. 

  • Resolves issues involving online course registration, holds on students’ records, prerequisites, etc; 

  • Develops and uses thorough knowledge of college registration processes, registers students; processes add/drop transactions, monitors completeness and accuracy of forms, assists in the maintenance of various forms. 

  • Assists with the transfer student monitoring process for students who have received financial aid and have transferred to Fort Lewis College from another institution. 

  • Assists in identifying and resolving enrollment reporting issues related to changes in status for students who have received federal financial aid. 

  • Processes enrollment verification requests/forms that require information related to a student’s financial aid status at Fort Lewis College. 
     

Other Duties 

  • Maintains knowledge and awareness of digital accessibility including the American with Disabilities Act and Section 508. 

  • Produces and remediates digitally accessible materials in accordance with FLC standards. 

  • Perform other duties as assigned 
     

Required Education, Specialized Skills and Experience 

  • Bachelor's degree from an accredited college or university. 

  • Minimum of two (2) years experience in a professional office environment. 

  • Experience using a student information system to process confidential student information. 

  • Knowledge of regulations governing student privacy and educations records, including FERPA. 

  • Experience in following business processes and procedures. 

  • Knowledge of Microsoft Office software, including Outlook, Word, Excel, and Teams. 

  • Demonstrated ability to organize and prioritize work, using judgement and working with minimal direct supervision. 

  • Strong written and verbal communication skills. 

  • A demonstrated commitment to diversity, equity, inclusion, and student success, as well as working with broadly diverse communities. 
     

Preferred Education, Specialized Skills and Experience 

  • Two (2) or more years experience in a college or university enrollment services or advising office. 

  • Experience using specialized software applications for student records management, such as Workday, Perceptive Content, and Slate Student Success. 

  • Knowledge of best practices in academic records management. 
     

Reports To / Supervisory Responsibility 

This position reports to the Assistant Registrar and has no supervisory responsibilities.

Compensation

The salary for this position is $21.00/hour. Plus a comprehensive benefits package.
