POSITION DESCRIPTION:
The Resort PBX Operator is responsible for efficiently handling all incoming calls, guest requests, and internal communications within the resort. This role ensures a high level of guest satisfaction by providing prompt and courteous service, accurate information, and effective communication with other departments.
ESSENTIAL DUTIES:
- Answer all incoming calls promptly and courteously.
- Direct calls to the appropriate departments or individuals.
- Handle guest inquiries, requests, and complaints efficiently and professionally.
- Provide information on resort amenities, services, and local attractions.
- Assist guests with wake-up calls, message delivery, and other telephone-related services.
- Coordinate with housekeeping, maintenance, and other departments to fulfill guest requests.
- Facilitate communication between various departments to ensure smooth operations.
- Maintain a log of guest requests, issues, and follow-ups to ensure timely resolution.
- Notify security or management of any emergencies or unusual occurrences.
- Update and maintain the resort’s telephone directory and other relevant information.
- Perform basic clerical duties such as filing, data entry, and document preparation.
- Assist with the preparation of reports and other administrative tasks as needed.
- Operate the resort’s PBX (Private Branch Exchange) system and other communication equipment.
- Troubleshoot and report any issues with the PBX system or other communication tools.
- Stay updated on the latest communication technology and best practices.
MINIMUM QUALIFICATIONS:
- High School Diploma or GED
- 1 year experience as an operator
- Previous experience as a PBX operator or in a similar role within the hospitality industry is preferred.
- Excellent communication and interpersonal skills.
- Ability to handle multiple tasks simultaneously and prioritize effectively.
- Strong problem-solving skills and attention to detail.
- Proficiency in using PBX systems, computers, and other office equipment.
- Ability to sit for extended periods and use a headset and computer.
- Ability to handle stress and remain calm under pressure.
- The work environment is primarily within an office setting, with some exposure to the operational areas of the resort.
- Must be able to work a flexible schedule, including nights, weekends, and holidays.
