Summary:
This is a full-time position working for the Fort Mojave Indian Tribe within the Fort Mojave Vocational
Rehabilitation, (FMVR). The administrative assistant primary responsible is to provide administrative
and secretarial support to the Director. Other responsibilities include filing, overseeing calendar
scheduling, bookkeeping, on-the-job-training coordination, meeting and conference organization,
inventory control, travel arrangements, and special projects. Individual must also have the ability to
answers non-routine correspondence and communicate with a diverse group of important external and
internal callers and visitors. In addition, independent judgment is required to plan, prioritize, and
organize a diversified workload. Most importantly the Administrative Assistant II must be able to keep
highly sensitive information confidential.
Essential Duties and Responsibilities:
- Assist with the incoming and outgoing correspondence for the FMVR program
- Maintain adequate levels of office supplies and forms
- Answers the phone in a professional manner
- Assist with special projects as assigned by the Director
- Typing and transcription as required
- Interprets policies and procedures as established by supervisor
- Compile financial data hard copy and computer computation involving and understanding
- Draft financial, statistical, narrative, and/or other reports as requested
- Attend at least one CANAR conference a year
- Peripheral Duties:
o Completes all other job-related activities as requested by the Director of Vocational
Rehabilitation.
o Participate in workshops, conferences, meetings, seminars, and classes, especially in
the field of vocational rehabilitation
Competency:
- Required: Excellent customer service skills
- Required: Proficient in the use of computers and standard software packages, as well as the

• Required: Ability to learn program rules and regulations with a willingness to be trained
- Required: Able to travel
- Required: Willing to acquire a Bachelor of Arts in business and enroll in appropriate training
programs.
Qualifications:
- Required: Administrative training.

- Required: Ability to organize and manage a complex schedule.
- Required: Meet the demands of multiple deadlines.
- Required: Maintain composer when answering phones, director’s inquiries, staff questions,

program.
Education/Experience:
- Required: High school diploma or GED.
- Required: Minimum of an AA Degree in Business Management or related field.
- Required: Three (3) to Five (5) years’ administrative and organizational office experience.
Language Ability:
- Required: Excellent oral skills.
- Required: Ability to communicate effectively with people of all ages in diverse backgrounds
- Required: Assist American Indians with disabilities with resource information.
- Required: Ability to provide information to potential consumers in a way that is non-
threatening.
Math Ability:
- Required: Ability to perform simple arithmetic equations.
- Required: Capable of using Microsoft Excel to create formulas.
- Required: Create effective mathematical equations for consumer files and data base.
Reasoning Ability:
- Required: Financial analysis for Revenue and Expenditure reports.
- Required: Create factual case notes.
- Required: Event planning that involves coordinating organizational meetings to include
scheduling and setting up conference rooms, securing proper equipment, arranging for video
conferencing, sending reminders and arranging catering.

Computer Skills:
- Required: Computer competency in Microsoft Word, Excel, Publisher, and PowerPoint.
- Required: The ability to prepare a variety of documents including letters and emails in draft
- Required: Submit documents to Director for proofreading prior to distribution.
- Required: Capable of entering consumer data into the Tribal Vocational Rehabilitation data
base.

- The employee may occasionally be required to move boxes of up to 25 pounds.
- Normal vision requirements, i.e., close vision, distance vision.
- The employee is frequently required to sit or stand for long periods of time and walk

Work Environment:
- Position is in a smoke-free three suite office building setting.
