Role Description
This is a full-time on-site role for an Administrative Assistant at the Fort Wayne-Allen County Airport Authority in Fort Wayne, IN. The Administrative Assistant will be responsible for providing administrative support, handling phone communications, assisting with executive administrative tasks, and utilizing clerical skills.
- Assists Director of Administration & Finance with administration of human resources, including employee benefit programs and human resource database.
- Assists Airport Development Manager with lease negotiations, renewals and extensions; land purchases and sales; and operating agreements.
- Prepares and maintains lease documents and other agreements with regular interface with the airport attorney regarding all document creation, delinquent rent judgments, evictions and other legal matters.
- Maintains current tenant roster (i.e., airlines, rental car companies, taxi cabs, etc.).
- Maintains stakeholder database.
- Manages the Authority’s document retention and disposal program, including filing of Authority records.
- Updates internal manuals, policies and SOPs.
- Composes, types and proofreads correspondence, reports, marketing materials or other documents.
- Provides back-up for the front office: answering phone, greeting public, and other duties as needed.
- Assists with maintaining a clean and organized Authority break room, including loading/unloading dishwasher and other miscellaneous tasks.
- Performs other duties as assigned.
Qualifications, Knowledge and Abilities
- Ability to write, edit, and proofread documents
- Advanced knowledge of Microsoft Office suite
- Ability to effectively communicate, orally and written
- Ability to establish and maintain effective working relationships and to work diplomatically with the public
- Knowledgeable of administrative procedures and preparation, filing systems, office machine operations, and Business English
- Ability to exercise independent judgment with minimal direct supervision and maintain confidentiality
- Must be a self-starter and team player
- Must be accurate and have an attention to detail
- Ability to adapt to the changing priorities of the Airport Authority
- Knowledge of office practices, procedures, and standard record keeping.
- High school or equivalent education with one to three years of work experience in office procedures; Position requires computer operations experience, including strong working knowledge of email, word processing and spreadsheet applications (Microsoft products desirable)
