Description

Plant Operations Administrative Assistant

The Plant Operations Administrative Assistant reports directly to Assistant Head of School of Operations. Job responsibilities include monitoring office communication and dispatching staff to coordinate the daily activity of an independent K-12 school campus of 104 acres and 14 buildings. This person provides clerical and administrative support to the department staff including shipping/receiving, reporting, purchasing, scheduling and event planning. Beyond clerical and organizational skills, the position requires active, in-the-field task management on occasion and can be a physically demanding position. Additional responsibilities include coordinating the scheduling of school vehicles for athletic and field trips with qualified drivers and running the transportation of students between home and the Fort Worth Country Day campus.

Essential Functions

  • Support Plant Operations managers and supervisors (Maintenance, Grounds, Housekeeping, Transportation and Security); order materials/equipment as requested
  • Directs phone calls and monitor radio
  • Monitor and dispatch work order ticket system to Plant Supervisor
  • Maintain appropriate inspection, compliance, water usage and audit documentation
  • Maintain files on all work orders, active bids, vendors and capital projects.
  • Coordinate schedule for campus meeting rooms
  • Maintain office supply inventory
  • Distribute department mail
  • Process UPS/FedEx and other orders campus-wide as necessary
  • Create purchase orders; reconcile with invoices for approval; deliver to the Business Office
  • Prepare monthly VISA log for authorized purchasers
  • Assist as necessary with campus event setups and daytime housekeeping
  • Coordinate the student transportation bus service, including assigning buses for special events, field trips, and for athletic events in coordination with the Athletic Director
  • Coordinate and maintain accurate records on riders and emergency instructions
  • Maintain accurate bus driver list, assuring drivers are properly licensed and certified
  • Perform all other duties as assigned

Position Type and Expected Hours of Work

  • Full-time, typical hours are Monday-Friday 7:30am - 4pm, some evenings
  • Hourly; non-exempt/eligible for overtime; all time worked should be entered on the timesheet

Essential Qualities

  • Ability to multi-task, detail oriented, self-starter, independent learner
  • Computer skills/experience with various operational software: purchasing (Senior Systems), scheduling (RESS), spreadsheets, database, work orders
  • Positive, calm, able to work well with varied constituency of faculty, staff, students, parent- volunteers and administrators

Physical Demands

  • Extensive walking, reaching, bending, stooping, pushing, pulling, repetitive motions
  • Periods of sitting and standing
  • Must be able to pack, unpack, lift and carry boxes, over 30 pounds
