Position Purpose

Provides a broad range of administrative and technical support to District employees and Office of Professional Standards staff in the areas of misconduct investigations, allegation report intake and data entry.

ESSENTIAL JOB FUNCTIONS

  • Serves as the primary team member to log assigned misconduct investigations in the department’s data management system. Assists with the collection and organization of physical and e-file records related to assigned investigations including Ch21 contracts, job applications, and other employment records for misconduct investigations.
  • Creates and maintains electronic files for employees by printing, scanning and attaching documents to the employee file; ensures proper routing and clearance of files.
  • Works collaboratively and provides support to OPS Director and Investigators related to primary functions managed in OPS Department., Performs and supports various systems processes to support Kronos and absence reporting related to employees who OPS has placed on administrative leave related to a misconduct investigation.
  • Compiles and generates reports, timelines, tables, graphs, correspondence, and presentations related to the work and case management of OPS staff
  • Arranges and coordinates meetings and conferences; maintains calendar of meetings and prepares follow-up materials.
  • Maintains approval and access to the DPS FACT Clearing as provided by the District to access and facilitate criminal history record updates and inquires.
  • Answers incoming calls from employees, community members, and others, and provides general information, takes reliable messages, and refers callers, as appropriate, to other staff or other District personnel.

Safety

  • Performs preventive maintenance on tools and equipment and ensures equipment is in safe operating condition.
  • Follows established safety procedures and techniques to perform job duties including lifting and climbing; operates tools and equipment according to established safety procedures.
  • Corrects unsafe conditions in work area and promptly reports any conditions that are not immediately correctable to supervisor.

  • Knowledge of District policies, procedures, and regulations.
  • Knowledge of office procedures and of spelling, grammar, punctuation, and arithmetic.
  • Knowledge of records administration and maintenance techniques and procedures.
  • Knowledge of multicultural diversity issues in the workplace.
  • Knowledge of human resources information systems in a school administration environment.
  • Skill at the intermediate level, working with Microsoft Office , especially Outlook, and Word.
  • Skill in giving full attention to what other people are saying, taking time to understand the points communicated, asking questions as appropriate, and not interrupting at inappropriate times.
  • Skill in performing mathematical calculations with accuracy and data entry with minimal errors.
  • Skill in completing assignments correctly, with attention to detail, and review / proofread accuracy.
  • Skill in interpersonal relationships, including using tact, patience, and courtesy.
  • Skill in using multi-function telephone, telephone techniques, and phone etiquette.
  • Ability to accurately prepare and maintain confidential records, files, and reports with discretion.
  • Ability to reconcile data entry to source documents and review work for accuracy.
  • Ability to understand, interpret, and apply rules, policies, and procedures relating to operations.
  • Ability to work effectively in collaborative teams with all levels of District employees, employee organization representatives, other agencies and the public.
  • Ability to organize and prioritize tasks, work under pressure, and meet multiple deadlines.
  • Ability to use software to access databases, email, create spreadsheets, and do word processing.
  • Ability to communicate effectively, both oral and written forms, and speak publicly.
  • Ability to engage in self-evaluation with regard to performance and professional growth.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
  • Travel Requirements

  • Travels to school district buildings and professional meetings as required.
  • Physical & Mental Demands, Work Hazards

  • Tools / Equipment Used : Standard office equipment, including computer and peripherals.
  • Posture : Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing / pulling, and twisting.
  • Motion : Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching; occasional climbing stairs; frequent walking.
  • Lifting : Occasional light lifting and carrying (less than 20 pounds).
  • Environment : Works in an office setting; may require occasional irregular and / or prolonged hours.
  • Attendance : Regular and punctual attendance at the worksite is required for this position;
  • Mental Demands : Maintains emotional control under stress; works with frequent interruptions.
  • Minimum Required Qualifications

  • Education : Accredited High School diploma, GED, or Texas Certificate of High School Equivalency required.
  • Certification / License : None.
  • Experience : 3 years in technical customer service or detailed work that includes the use of research and maintaining detailed records, as well as maintaining confidentiality while collaborating with staff required.
  • Language : Bilingual (English / Spanish) working proficiency preferred in some settings.
