What are the responsibilities and job description for the RECEPTIONIST position at Fort Worth Transportation Authority?
Trinity Metro has an immediate opening for a receptionist. The incumbent will serve as the face of the company for visitors, vendors, and customers. They are responsible for providing a positive and professional experience. The role manages the front desk and offers exceptional customer service to those visiting or calling. The incumbent is under the general direction of the Chief of Staff. The employee maintains the confidentiality of sensitive information and works on special projects as required.
The position's responsibilities include:
- Answer a multiple-line phone system and manage calls by routing them to the proper department or take messages and deliver them timely within our message system.
- Manages the visitor’s log of those entering the building.
- Maintain the reception area, keeping it clean and free of clutter.
- Accepts packages, logs them in, and ensures the recipient is notified promptly.
- Manages the ordering of general supplies for multiple facilities within policy and submits the reconciliation of the orders to finance.
- Manage fleet vehicles and coordinate their maintenance needs with the respective departments as required.
- Types, updates, revises, and prints drafts and/or final documents using Microsoft Word. Finalizes documents into proper format and verifies spelling and punctuation. Create various forms and documents for Trinity Metro personnel.
- Performs general office duties such as copying, filing, and setting up for various meetings.
- Completes a broad variety of clerical tasks, such as completing expense reports, processing invoices, posting public meeting notices, and composing and preparing correspondence that is sometimes confidential.
- Process and assemble the agency’s daily mail and cross-train with the Mail Coordinator.
- Maintain confidential information.
- Maintains regular and punctual attendance.
EXPERIENCE
At least two years of training or experience in customer service and office work.
Any combination of experience, training, and/or education that provides the required knowledge, abilities, and skills may substitute for the required education.
