Summary / Objective:
Fort Orthopedics and Sports Medicine is looking for a full-time Therapy Care Coordinator to join our growing team in Greenwood, Indiana. This position will work at the front desk of our Physician's Office, with the primary responsibility of scheduling and coordinating patient rehabilitation referrals for our multi-location rehab department. The role requires close collaboration with both physician clinic teams and rehabilitation specialists in a team-oriented environment.
The position requires availability Monday through Friday, with varying set schedule between 7:00 AM and 5:30 PM to meet the clinic's needs. A Saturday shift from 7:30 AM to 10:30 AM at our Carmel Clinic may be required once every two months, with mileage reimbursed.
Essential functions:

- Coordinate and schedule rehabilitation appointments for patients that are referred, ensuring alignment with the rehabilitation specialist's availability and specialties
- Manage patient appointments - including rescheduling, cancellations, and follow-ups
- Coordination of internal and external referrals
- Communicate with patients, while ensuring a warm and professional atmosphere
- Provide exceptional customer service by answering phone calls, responding to inquiries about rehabilitation services, and helping patients navigate their appointment scheduling
- Assist patients with any necessary documentation, including patient intake forms, insurance information, and related paperwork
- Work with the Forte insurance verification team to ensure that rehabilitation services are covered under the patients plan and benefits are relayed appropriately; provide self-pay patients with package pricing options
- Administrative duties include but are not limited to: processing and indexing paperwork, maintaining patient electronic medical records, answering phones and calling patients, data entry, running reports, checking patient's in/out for clinic as needed, and ensuring the lobby remains in pristine condition throughout the day
Collaboration:
- Serve as a liaison between the physician and rehabilitation departments, ensuring effective communication regarding patient care, rehabilitation recommendations, and scheduling
- Collaborate with staff to ensure that patients referred for rehabilitation services have timely access and that all necessary documentation is transferred efficiently
- Inform rehabilitation specialists and providers of any scheduling changes or urgent matters regarding patient care
Qualifications:
Competencies:
- Strong organizational and multitasking skills, with the ability to manage a high volume of appointments
- Excellent communication and interpersonal skills, must consistently demonstrate superior customer service skills
- Highly detail oriented with the ability to problem solve both independently and in collaboration with others
- Proficiency in scheduling software and other office tools (e.g. Microsoft Office)
- Knowledge of insurance verification, billing procedures, and medical terminology is a plus
- Ability to maintain patient confidentiality and demonstrate professionalism in all interactions
Education and experience:
- High school diploma or equivalent required; a degree or equivalent experience in healthcare administration, preferred
- Previous experience working in a medical or orthopedic setting, including front desk with scheduling responsibilities, preferred
- Legally authorized to work in the United States
