Position Summary :

The Administrative Assistant serves as the first point of contact for clients, vendors, and employees, ensuring a professional and welcoming environment. This role is responsible for managing branch office operations, handling communications, and assisting with administrative tasks to support efficient operations across departments.

Essential Duties and Responsibilities :

Reception & Communication

  • Answer, screen, and transfer calls to appropriate departments.
  • Provide detailed call synopses via Teams to enhance customer service response times.
  • Clarify and complete Central Communications messages.
  • Distribute incoming and outgoing mail, packages, and documents.
  • Customer Interaction

  • Guide customers in the "systems on test" process by verifying credentials and assisting with self-service platforms to reduce call volume and enhance satisfaction.
  • Maintain updated emergency contacts and ensure accurate communication with external partners like the Fire Department and Call Center.
  • Administrative Support

  • Assist Accounts Receivable with check processing and Accounts Payable with COIs and mailing checks.
  • Coordinate meeting room schedules and assist with minor facilities management tasks.
  • Organize and maintain inventory for office supplies, ensuring efficient procurement and replenishment.
  • Required Qualifications :

  • High school diploma or GED.
  • Minimum 2 years of experience in a receptionist, administrative support, or branch support role.
  • Proficiency in Microsoft Teams, Outlook, Word, and Excel.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and ability to multitask in a fast-paced environment.
  • Preferred Qualifications :

  • Experience in customer service or office management.
  • Familiarity with event planning and logistics coordination.
  • Compensation : $24.00 - $27.00 hr.

    Physical Requirements

    While performing the duties of this job, the Team member is regularly required to use hands to finger, handle, or feel and talk or hear. The Team member is frequently required to reach with hands and arms and stoop, kneel, crouch, or crawl. The Team member is frequently required to stand, walk, sit, and climb stairs, or balance. The Team member must occasionally lift and / or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus
