We prepare students for college starting in preschool Transitional Kindergarten in San Bernardino and Sacramento Counties and are focused on closing the African American achievement gap.

Job Summary: The Registrar is responsible for recordkeeping duties related to enrollment and maintenance of permanent school records for the high school and middle school; assure compliance with established rules, regulations, policies and procedures.

Essential Duties and Responsibilities:
  • Under the direction of an assigned supervisor, perform complex clerical and statistical record-keeping duties related to the enrollment and maintenance of permanent school records for the high school and middle school; assure compliance with established rules, regulations, policies and procedures
  • Process paperwork for new students; assure accuracy and completeness of registration forms; establish cumulative and health files;
  • Request records and transcripts for new students from previous schools; review and evaluate transcripts received from other schools to determine allowable credits; transpose information for recording purposes; release and send records and transcripts to requesting schools, students and outside agencies; account for transcript monies received; process withdrawing students
  • Receive telephone calls and provide information and assistance to students, parents, staff and the public regarding student grades, enrollment and related policies and procedures, schedule meetings and appointments
  • Perform a variety of responsible and complex clerical duties including typing, filing and duplicating materials; type lists, requisitions, forms, reports, correspondence and other materials; independently compose correspondence; purge records and files in accordance with established guidelines
  • Utilize assigned student information system to input data regarding current and new students and to generate a variety of reports
  • Operate a variety of office equipment including a typewriter, fax machine, copier and a computer and assigned software
  • Perform special projects and prepare various forms and reports on behalf of administration; attend to administrative details on special matters as assigned
  • Greet and assist visitors at the counter as needed; answer phones and take and relay messages as appropriate
  • Record-keeping and report preparation techniques

  • Establish and maintain cooperative and effective working relationships with others

  • Maintain consistent, punctual and regular attendance
  • Work in collaboration with Central Office to ensure that rules are being followed, and expectations are being met.
  •  Intake and accounting of money for after school program and lunch program. Perform financial duties for the school site.
  •  Handling bookkeeping for parent/school organizations and attending budget/bookkeeping-related meetings/committees/workshops.
  •  Provide administrative support to the principal and school personnel by answering phones composing and typing correspondence.
  • Assist with monitoring building visitors, visitor sign-in procedures and building activities including crisis situations such as building evacuations, lockdowns, emergency situations and safety procedures.
  •  Perform other job-related duties as assigned, including providing back-up coverage to other positions.
  • Prepare deposits in an efficient manner to be turned in to the Central Office staff. 
  •  Word processing methods, techniques and programs, including spreadsheet and database operations.
  •  Communicate, interact and work effectively and cooperatively with all people including those from diverse ethnic and educational backgrounds.
  • Provide excellent customer service to internal and external customers.


Technical Skills/Knowledge
  • Correct English usage, grammar, spelling, punctuation and vocabulary
  • Oral and written communication skills
  • Interpersonal skills using tact, patience and courtesy
  • Perform complex clerical and statistical record-keeping duties related to the enrollment and maintenance of permanent school records at an assigned high school site or student records at the District office
  • Utilize alpha and numeric filing systems


Qualifications:
  • Any combination equivalent to: graduation from high school and three years of general clerical experience involving public contact and one year of student record-keeping activities
  • Typing Certificate (Must attach a certificate verifying typing speed of 35 (net) words per minute on a 5-minute timed test at the time the application is submitted **Typing certificates will only be accepted from business organizations/institutions that verify completion of a 5-minute timed writing, state gross words per minute, number of errors, and indicate a minimum of 35 (net) words per minute. Internet and high school typing tests will not be accepted.


Education and Experience:
  • Associate degree required
  • Bachelor’s degree preferred
  • Proficient in Access, Microsoft office, power point, excel and able to type 35 (net) words per minute
  • Complete command of the English language, written and oral.


Working Environment:
  • The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally, the job requires sitting, walking, and standing. This job is performed in a busy school site that should maintain a clean and healthy environment.

$40,000 - $45,000 a year
At Fortune School of Education, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $40,000-$45,000 annually.
