What are the responsibilities and job description for the Firm Support Specialist position at Forvis Mazars, LLP?
As a Firm Support Specialist, your key role is to create a welcoming and professional first impression by greeting clients and guests who arrive at our Forvis Mazars office. Additionally, you will assist our partners and staff in various administrative capacities. Timely arrival and effective communication skills are necessary along with a dedication to providing unmatched client service.
How you will contribute:
- Answering calls and greeting clients and guests at the front desk
- Coordinating outgoing and incoming mail, including mail and fax distribution
- Maintaining FedEx/UPS and other supplier accounts
- Maintaining common spaces (e.g., meeting rooms, lobby, break room, etc.)
- Coordinating conference room schedules and preparing for meetings
- Assisting in other administrative functions (filing, typing, proofreading, tax processing support, etc.)
- Other duties as assigned
We are looking for people who have Forward Vision and:
- Excellent customer service and communication skills
- Attention to detail and strong organizational skills while working under target dates
- Ability to manage projects and is a self-starter
- Flexibility in work hours; full-time during extension season which is from August to October and January through April, part-time during off season (8AM-1PM)
Minimum Qualifications:
- A High School Diploma or equivalent, Additional college education preferred
- Previous work experience in a professional office environment
- At least 2 years of experience answering a multi-line phone system
- Proficiency with Microsoft Office Suite and Adobe programs
