What are the responsibilities and job description for the Client Services Associate position at Foster Klima & Company?
Essential Duties and Responsibilities:
- Client Account Management:
o Process new client accounts, distributions, and other financial transactions in a timely and accurate manner.
o Enter client information into all necessary software including our CRM and financial planning software.
o Run and maintain account maintenance reports on a monthly/quarterly basis.
- Client Support & Communication:
o Respond to basic client inquiries and escalate any issues requiring specialized knowledge to the advisor.
o Assist clients by providing updates on their accounts and resolving general service requests.
o Provide status reports to the Wealth Management team on account openings and asset transfer progress.
o Assist in the preparation for client meetings, including gathering relevant documents and materials.
- Administrative & Documentation Support:
o Maintain, update, and organize client information, ensuring data is accurate and up-to-date in the firm’s CRM system.
o Complete administrative tasks, including tracking and documenting client data.
- Team Collaboration & Back-Up Support:
o Collaborate with Wealth Managers to address account questions, service requests, and other client-related matters.
o Provide back-up support to other Wealth Management team members as needed.
- Professional Development & Industry Participation:
o Participate in industry meetings and educational opportunities to further your knowledge and stay current on best practices.
o Participate in special projects and assignments as needed, working with team members to resolve complex issues and improve processes.
Knowledge, Skills, and Abilities:
- Exceptional oral, written, and interpersonal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong attention to detail, accuracy, and the ability to maintain a high standard of quality.
- Ability to multitask, adapt to changing priorities, and manage time effectively in a fast-paced environment.
- Excellent problem-solving skills and the ability to troubleshoot client inquiries.
- Strong work ethic and commitment to providing exceptional service.
Education and Experience:
- High school diploma or equivalent required; a college degree is preferred.
- Prior experience in the financial services industry is a plus.
- Series 7 preferred, or willing to obtain at a later date.
- Previous administrative support experience, particularly in wealth management or financial services, is a bonus.
