Overview
The Patient Services Representative plays a crucial role in ensuring a positive experience for patients within a medical office setting. This position involves managing patient interactions, handling administrative tasks, and ensuring compliance with healthcare regulations. The Patient Services Representative will work under the supervision of the Practice Manager. The Patient Services Representative is responsible for patient care assigned to that position. The Patient Services Representative should possess a basic knowledge of clerical and receptionist duties and demonstrate such skills along with excellent communication.
The Patient Services Representative will assist healthcare providers, management, and/or the billing department by documenting noteworthy interactions with patients, completing paperwork and work/school notes after a visit, and entering data into medical records.
Essential Duties
- Greet patients in a welcoming and professional manner.
- Answers, screens, and routes calls to appropriate individuals.
- Records and routes messages accurately.
- Retrieves daily patient data for appointments and phone calls.
- Schedules patient appointments.
- Answers general insurance and billing questions.
- Reviews demographic, insurance, and HIPAA information for all patients—new and established.
- Verifies insurance eligibility and/or reviews self-pay policy with all patients.
- Ensures new patients complete all required paperwork and create a new account in the computer system.
- Collecting patient payments
- Completes quality data elements and processes.
- Updates electronic medical record system (EMR), scans and indexes documents.
- Directs new patients to complete new patient paperwork online and answers any patient questions.
- Reconciles account in the EMR system.
- Counts the cash drawer.
Qualifications/Skills
- High school diploma or equivalent and knowledge of grammar, punctuation and sentence structure
- Strong communication and interpersonal skills
- Excellent computer skills
- Ability to work effectively in a fast-paced clinic environment
- Previous experience in a medical setting or customer service position—preferred but not required
- Familiarity with electronic health record systems—preferred but not required
- Proficient in insurance verification processes and understanding of various insurance plans—preferred but not required
- Knowledge of HIPAA regulations to ensure patient confidentiality.
- Strong clerical skills with attention to detail for accurate record keeping.
- Familiarity with coding practices related to medical billing—preferred but not required
- Experience in scheduling within a medical office environment—preferred but not required
- Administrative skills that support efficient office operations and enhance patient satisfaction
- CNA or Medical Assistant experience—preferred but not required
This role is essential for maintaining the flow of services within the healthcare facility while providing exceptional support to patients.
Job Types: Full-time, Part-time
Expected hours: 24 – 38 per week
Schedule:
- Monday to Friday
- Rotating weekends
