WHO WE ARE LOOKING FOR: Creative Operations Coordinator
POSITION SCOPE: We are seeking a highly organized, detail-oriented, and proactive Creative Operations Coordinator who thrives in supporting a fast-paced, collaborative creative environment. This role will report into the Creative Operations Manager and will work closely across the Brand Team supporting project management, ensuring timelines are being met along with smooth execution across the creative project lifecycle.
RESPONSIBILITIES:
Creative Asset Management:
- Maintain and organize the FoundRae Digital Asset Management (DAM) system by uploading, tagging, and categorizing assets to ensure easy access and efficient use across teams.
- Keep the cross-functional content tracker up to date in alignment with the evolving asset plan.
- Manage pre- and post-production calendars, ensuring all key milestones and deadlines are clearly tracked.
- Assist with photoshoot and marketing sample inventory, including processing requests, coordinating returns, and cataloging quantities.
- Distribute final assets and copy to cross-functional and external teams with all pertinent usage and credit details.
Project and Workflow Coordination
- Work closely with the Creative Operations Manager to support the planning and execution of seasonal and evergreen content projects.
- Review incoming creative requests (e.g., invitations, advertisements, imagery) and gather all relevant information to support project kickoff.
- Coordinate with creative team members by sharing briefs and ensuring clarity around deliverables and timelines.
- Monitor project schedules to help ensure on-time delivery, highlighting any potential risks or delays.
- Assist in managing the final approval process and ensure timely delivery of completed assets.
Special Projects
- Support the execution of large-scale marketing campaigns and annual Holiday programs.
- Assist in managing the branded copy process from initial briefing through approvals .
REQUIREMENTS:
- Bachelor’s Degree in Marketing or related field.
- Minimum 1-2 years of work experience in production, project management, or a similar operational position.
- Strong project management skills with previous experience using a project management software.
- Strong organizational and communication skills with a solutions oriented mind-set.
- Proficient in Microsoft Suite, Monday.com and AdobeSuite
The appointed candidate will be offered an annual salary between $65,000-$70,000, opportunity for a bonus, a comprehensive benefits package including: medical, short and long-term disability, various paid time off programs, employee discount/perks and retirement plan.
