Key Responsibilities
- Daily Tracking: Ensure daily logs of project activities, including labor, material usage, and site conditions have been updated. Timely report updates and communicate any deviations from the plan.
- Budget Monitoring: Assist in tracking project budgets, ensuring that project costs remain within the allocated budget. Prepare cost reports and assist in reviewing and processing invoices for payment.
- RFI Management: Handle the preparation, submission, and follow-up of Requests for Information (RFIs). Ensure RFIs are properly documented and promptly responded to by the relevant stakeholders.
- Submittals and Purchase Orders: Assist the project team with the preparation and submission of project submittals. Process purchase orders and ensure timely delivery of materials required for the project.
- Scheduling: Monitor and track project schedules using Microsoft Project. Ensure milestones are met, and project timelines are adhered to. Assist in schedule updates and coordination with field teams and subcontractors.
- Document Control: Maintain accurate and organized project documentation in Procore, including contracts, change orders, drawings, permits, and correspondence.
- Communication: Act as a liaison between Project managers and upper management, including clients, subcontractors, suppliers, and the internal team. Provide updates on project status, upcoming deadlines, and any issues requiring attention.
- Reporting: Generate and distribute regular project status reports, highlighting key updates, milestones, challenges, and upcoming tasks.
- Administrative Support: Provide general administrative support to the project team, including filing, data entry, organizing meetings, and other related tasks.
