Overview
We are seeking a dedicated and enthusiastic Front Desk/Reception/Customer Service Representative to join our team. In this role, you will be the first point of contact for our residents, providing exceptional service and support. You will handle inquiries, resolve issues, and ensure a positive experience for all residents of a 55 community. The ideal candidate will possess strong communication skills and a passion for helping others.

Responsibilities

  • Greet and Direct Residents/Visitors both in person and over the phone.
  • Opening and closing of FOS Office and register.
  • Answer phones and respond to questions and requests from residents.
  • Receive and verify information required for new homeowner/tenant paperwork and efile them in residents’ property lot records.
  • Update homeowners who no longer own and expired tenant files and delete property lot records.
  • Maintain 2 different resident databases. Update homeowner/tenant information as required.
  • Print and create office forms i.e.: new homeowner packet, guest lists, phone # changes etc.
  • Make copies for residents, FOSA events, and Clubs/groups. Send and receive faxes for residents.
  • Print, number, and sell event tickets for FOSA and Clubs/Group.
  • Receive dues, donations, income and expenses from Clubs and credit their account in QuickBooks.
  • Take reservations and payments for events, patio sales and other activities.
  • Receive ads and money to advertise in the Sun Times e-blast.
  • Brief orientation for new homeowners and tenants including Welcome Packet, vehicle passes, access cards, phone directory distribution and overview of community and activities available. Provide information on the Ambassador Program to New Homeowners.
  • Reconciling end of day cash receipts/deposits.
  • Take photos of residents for access cards, activating and taking payment for them to use FOSA facilities.
  • Works closely with Maintenance to address resident concerns/requests.
  • Manage RV storage spaces. Print and mail contracts. Process RV storage payments and gathering required information to rent a space. Maintaining a spreadsheet with all the resident information on renting throughout the year.
  • Sales: Fishing permits, walking/biking passes, access cards, vehicle passes, event tickets, USPS stamps, Memorial plaques, email blast classified ads and resident name badges.
  • Maintain the Phone Directory updates throughout the year for annual printing.
  • Maintain a monthly list of new homeowners for the Sun Times newspaper and submit to editor.
  • Distribute Car Sticker and fast passes (RFID) for FOSA Employees, Vendors, Caregivers, residents and Country Club employees.
  • Submitting month end reports for Access Card, RFID, USPS stamp inventory and sales to Administrative Office Coordinator.
  • General knowledge of office equipment including but not limited to: Copiers and basic computer programs: ie word, excel, outlook and QuickBooks.
  • Have or willing to obtain Food Handler’s license/permit within 30 days of hire.
  • Reliable transportation to and from work
  • CPR/First Aid Certified
  • AED Training
  • Availability to Activities Director for working at special functions on nights and weekends.

· All other duties as assigned

Education and/or Work Experience required Customer Service experience preferred with experience in computer data entry including Microsoft Word, Excel and email usage.

· The employee is occasionally required to sit. The employee must frequently lift and/or move more than 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and depth perception.

Job Type: Full-time

Pay: $19.00 - $21.00 per hour

Expected hours: 40 per week
