Position Purpose
The Sales Coordinator plays a crucial role in supporting the sales team to achieve revenue targets and ensure the smooth execution of sales activities. This position serves as a key point of contact for clients and internal stakeholders, managing administrative tasks, coordinating event logistics, and assisting in the implementation of sales strategies. As the Sales Coordinator, you are responsible for providing exceptional customer service, maintaining organized records, and facilitating communication between departments to deliver seamless guest experiences and maximize sales opportunities. These responsibilities help ensure the sales team operates efficiently and effectively, contributing to the overall success of the organization.
Essential Responsibilities
Administrative Support
- Assist the sales team with daily administrative tasks, including preparing contracts, proposals, and reports.
- Maintain organized and accurate records of client interactions, bookings, and sales activities.
- Prepare sales reports, performance metrics, and forecasts for the sales team and management.
· Monitor inventory levels and coordinate with the procurement team to ensure adequate stock.
Client Interaction
- Respond promptly to inquiries from prospective clients, providing detailed information about the hotel's services and amenities.
- Assist with the coordination of client site visits, meetings, and follow-up communications.
- Build and maintain positive relationships with clients, ensuring a high level of customer satisfaction.
Event Coordination
- Collaborate with the events and operations teams to ensure all client requirements are met and events are executed flawlessly.
- Assist in the coordination of group bookings, ensuring all details are accurately communicated and managed.
- Oversee event logistics, including room setups, catering, AV requirements, and other special requests.
Attendance at Booked Groups and Events
· As a sales coordinator, it is imperative to uphold the highest standards of professionalism and service delivery. One of the key responsibilities in this role is ensuring attendance at the groups and events that have been booked through the sales efforts.
Sales Strategy Implementation
- Support the execution of sales strategies by preparing marketing materials, sales presentations, and promotional campaigns.
- Assist in identifying new sales opportunities and target markets.
- Contribute to the development and implementation of sales and marketing plans to achieve revenue goals.
- Assist in the development and execution of sales and marketing campaigns.
Performance Monitoring
- Monitor and report on sales performance metrics, identifying trends and opportunities for improvement.
- Track progress against sales targets and objectives, providing regular updates to the sales team and management.
- Analyze competitor activity and market trends to inform sales strategies.
Coordination and Communication
- Facilitate effective communication between the sales team and other hotel departments to ensure seamless operations.

- Act as a liaison between clients and hotel staff, addressing any issues or concerns promptly and professionally.
Customer Service Excellence
- Ensure a high level of customer service by anticipating client needs and addressing them proactively.
- Handle client complaints or concerns in a courteous and efficient manner, seeking to resolve issues.
- Foster a positive and professional image of the hotel at all times.
Additional Duties
- Perform other duties as assigned to support the overall success of the sales department and the hotel.
- Stay updated on industry trends and best practices to continuously improve sales processes and performance.
- Participate in sales training and development programs to enhance skills and knowledge.
