We are currently seeking a detail-oriented, proactive, and organized individual to join our team as an Order Entry & Front Desk Coordinator.
Position Summary:
This hybrid role is essential to the smooth operation of our title agency, combining the responsibilities of vendor coordination, data entry, and front desk support. The ideal candidate will play a key role in initiating the title process by managing orders, entering accurate data into our title production software, and serving as the first point of contact for clients and vendors.
Key Responsibilities:
Order Entry & Vendor Coordination:
- Order title searches, abstracts, tax certificates, and HOA certifications from approved vendors.
- Request estoppels when necessary, ensuring timely and accurate submissions.
- Monitor and manage vendor performance and turnaround times.
- Accurately enter all order details and documents into the title production system.
- Maintain awareness of jurisdictional requirements and timelines for different types of orders.
- Coordinate with internal processors and closers to ensure seamless workflow transition.
Front Desk & Administrative Duties:
- Serve as the first point of contact for clients, realtors, and lenders, both in person and over the phone.
- Answer and route incoming calls appropriately, demonstrating a thorough knowledge of company workflow and services.
- Provide general administrative support to the title team as needed.
- Handle incoming mail and deliveries; manage outgoing mail and overnight packages.
- Maintain a professional and welcoming reception area.
General Qualifications:
- Excellent data entry skills with a high level of accuracy and attention to detail.
- Outstanding organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Professional phone etiquette and customer service skills.
- Proficient in Microsoft Office Suite
- Ability to work independently and as part of a team in a fast-paced environment.
Additional Opportunities with Specific Qualifications:
- Prior experience in a title insurance agency, law firm, or real estate office preferred.
- Strong working knowledge of title workflows, especially the pre-closing phase.
