Four Roses Bourbon is seeking candidates for the role of Warehouse Coordinator. The Warehouse Coordinator is responsible for the overall administrative duties as they pertain to documentation of bulk distillate and aged product. This position conducts job duties in a manner that demonstrates a strong food safety culture which ensures the safety and quality of our products. The Warehouse Coordinator reports directly to the Senior Manager, Warehouse.
Summary/Objective
As Coordinator, this individual manages required transactions as it pertains to new barrel entry, storage and withdrawal of the barrel inventory, transfer of aged product to bottling, as well as receiving storage and shipment of bulk product. Data entry is 50-75% of this position’s responsibility. The schedule is Monday – Friday 7:00a – 3:30p with all work being performed onsite. Therefore, remote work is not an option.
Essential Functions
Major Responsibilities 95%
Distillate Receipts
- Complete all adjustments and receipts of new distillate in Inventory Management Systems to warehouse.
- Maintain monthly distillate spreadsheets.
New Barrel Entry
- Complete transactions in Inventory Management System to consume distillate and new barrels.
- Create batch IDs and enter barrel storage into Inventory Management System.
- Create labels and label samples as needed for each tank of distillate.
- Receive new Barrels into AX and verify counts for accuracy.
- Communicate daily new distillate information to barrel filler via white board.
- Verify barrel locations listed on daily Racking Report provided by crew leader.
- Verify scanning transactions match filler & crew lead put away sheet.
Barrel Withdrawal
- Complete transactions in Inventory Management System to withdraw and dump barrels, transfer barrels and/or bulk product to specified locations.
- Complete excel paperwork to calculate product volume to be exported.
- Create labels and label samples as needed for each tank of aged product.
- Maintain Excel Spreadsheet for Slurry Tanks, accurately capture all product movement including losses or gains.
Used Barrels
- Coordinate with Warehouse Senior Manager for used barrel shipments.
- Create bill-of-lading (BOL) for used barrel shipments.
- Schedule used barrel pick-ups.
- Complete used barrel shipment transactions in AX.
- Coordinate with the accounting department for payment processing/shipping of used barrels by maintaining used barrel spreadsheet on the one-drive.
Char Collection/Shipments
- Prepare paperwork for char shipment.
- Communicate char volume to Accounting.
- Maintain raw materials used for char collections.
Sampling & Quality
- Coordinate single barrel, survey, blending stock and all other sample orders - as requested by Sensory Chemist.
- Print Single Barrel sample labels as needed to support production.
- Coordinate transportation of samples to Lawrenceburg Quality Lab.
- Maintain Single Barrel approval spreadsheet.
- Deliver distillate and aged product samples to Quality Lab daily.
Bulk Shipments
- Perform shipping transactions in Inventory Management Systems as they pertain to bulk shipments.
- Prepare shipping documents for bulk shipments in Inventory Management Systems.
- Keep current on all TTB forms as they pertain to bulk shipments.
- Keep current on all DOT regulations for transportation–including bill-of-lading information, flammable placarding of transportation vehicles.
Bottling Bulk Transfers
- Transfer withdrawn Single Barrels and PBS Barrels to bottling via Inventory Management System.
- Transfer PBS barrels to specified location in Inventory Management System.
- Transfer aged bulk liquid to bottling via Inventory Management Systems.
Inventory
- Coordinate with Warehouse Supervisor to prepare month-end tank inventory report.
- Coordinate with Warehouse Supervisor to prepare month-end New Barrel report.
- Create and verify reports in Inventory Management System for month end closing.
Plant Safety
- Contributes to a safe work environment.
Minor Responsibilities 5%
Sales Promotion & Cross-Functional Initiatives
- Participate in various marketing events as needed.
- Periodically give tours of the warehouse facility to VIP’s.
- Greet, assist, and direct all visitors in a courteous manner, encouraging customer relations.

Qualifications

Required Education and Experience
- Must be at least 21 years old.
- Associates degree in business management or related field.
- 1 – 2 years experiences in an administrative/coordinator capacity within a manufacturing and/or warehousing environment.
- Ability to perform basic mathematical calculations.
- Proficient computer literacy with ability to utilize Inventory Management Systems, Microsoft Dynamics AX, Microsoft Office Suite, including Word, Excel, and Outlook; must have ability to adapt to barrel management software.
Education and Experience Preferred
- Experience in the spirits industry.
Job Related Information
Supervisory Responsibility
The Coordinator, Warehouse position has no direct reports.
Work Environment
This job operates 10% in warehouse working areas and 90% in an office environment.
Travel
Limited travel may be required. May travel to suppliers, equipment manufacturers, etc.
