- Manage calendars and schedule appointments for team members
- Manage Customer Accounts & Sales Orders
- Execute White Glove Service on Customer Shipments
- Execute White Glove Service on Rush Orders
- Execute White Glove Service on Sample Orders
- Manage Shipping Forecast Calendar
- Manage Project Management Calendar
- Manage Maintenance Schedule Calendar
- Manage Personnel Roster & Records
- Manage Recruitment Discrepancies & Process New Hire Packets
- Manage Continuous Improvement Calendar
- Generate Procurement Reports
- Execute Procurement in Collaboration with Management & Purchasing
- Execute Audits on Roster Attendance
- Manage Roster Performance Records
- Schedule Master Class Training Sessions
- Execute Compliance Chargeback Disputes
- Track and File Daily Logs from Various Department Leads
- Perform proofreading of documents to ensure accuracy and professionalism
- Provide exceptional customer service to clients and visitors
- Assist with data entry tasks and maintain accurate records
- Utilize Microsoft Office for document creation, spreadsheets, and Standard Operating Procedures
- Support the Operations Manager with scheduling meetings and tracking inquiries (if applicable)
- Maintain an organized office environment, including filing, organizing employee inquiries, assisting carrier check-ins and inventory management
- Handle correspondence, including emails, Zoom application chats and phone calls, with professionalism
Experience
- Excellent Attendance and On-Time record is essential
- Proven experience in an administrative role or similar position is preferred
- Strong computer literacy with proficiency in ERP and other office software
- Bilingual skills are a plus, enhancing communication with diverse clientele
- Excellent time management skills with the ability to prioritize tasks effectively
- Previous experience in customer service or order processing office setting is advantageous
- Attention to detail and strong organizational skills are essential
