About the Club

Established in 1923, Fox Chapel Golf Club is a traditional private, non-equity golf and country club with a family-centric culture located 15 minutes from downtown Pittsburgh on 140 acres in the beautiful suburbs of Fox Chapel. The historic Brandon Smith and Alden / Harlow Clubhouse is a registered architectural landmark. The Club recently completed a $15 million renovation to bring its facilities up to the standards and needs of its modern membership. These improvements included enhancements to the golf course, an addition to the East Wing of the clubhouse and an expansion of the West Wing of the clubhouse. The Club’s Seth Raynor 18-hole golf course was recently ranked among the Top 100 Best Classic Courses in 2021 by Golfweek Magazine. Additional club amenities include six Har Tru tennis courts, Skeet and Trap, a main swimming pool and baby pool, four paddle courts, golf shop, tennis shop, junior programs, summer camp, and a 5,000 sq.ft. fitness center. The Club operates from April to February with hours varying by season. The 49,000 sq.ft. clubhouse features various dining outlets and options for special events : Lynches Tavern (90 max), Guyaux Family Dining Room (71 max), Grill Room (max 68), Main Dining Room (max 120), Men’s Grille (max 74), Living Room (max 144), Atrium (max 120). Annual gross revenues are $11.5 million; total food and beverage sales are approximately $2.5 million of which 50% is derived from private events. The Club has 1,236 members of which 571 are full-privileged. During the height of the season, there are 215 employees; 80 employees are year round.

About the Position

The Club is seeking a skilled and talented Banquet Director who will report to the Director of Hospitality and be responsible for the day-to-day operation of the banquet department and for all special club and private events. The Banquet Director will work with the Director of Hospitality, Executive Chef and other F&B Managers to ensure the highest level of service for all events. The Banquet Director will assist with recruiting, supervising, training and developing all staff in the banquet department.

About the Ideal Candidate

The ideal candidate will be experienced in event sales, preferably in a well-regarded, multi-outlet and high-volume private club, resort or hotel. He / she will have a professional career “track record” of achievement and leadership with relative employment stability.

Job Summary (Essential Functions)

Responsible for all day-to-day catering services. Develop contracts for and oversee all administrative and operational aspects of preparing and selling events and catered parties. Work with banquet and other departments to assure that the members’ and guests’ expectations are exceeded, and the highest quality food and service are delivered.

Job Tasks / Duties

  • Promotes, advertises and markets the club’s social event facilities and capabilities to all members.
  • Implements ongoing sales campaign to alert members to the club’s banquet operations
  • Assists members in arrangements for special dinner requests
  • Responds to incoming banquet leads in a timely manner
  • Helps member clients arrange banquets, luncheons, meetings, weddings, dances and other social events; obtains pertinent information needed for guest planning.
  • Works with the Executive Chef and General Manager to determine selling prices, menus and other details for catered events; oversees the development of contracts; assures that pre-planned banquet menu offerings are current and reflect general member interests.
  • Transmits necessary information to and coordinates event planning with production, serving and housekeeping staff; arranges for printing of menus, procuring of decorations, entertainment and other special requests, etc.
  • Inspects finished arrangements; may be present to oversee the actual greeting and serving of guests on a routine and random basis
  • Checks function sheets against actual room setup; oversees personnel scheduling for special functions and may help supervise service personnel.
  • Assists with scheduling of banquet service employee meetings.
  • Responsible for hands-on service work when needed and orchestrating events when necessary.
  • Manages complaints.
  • Maintains past and potential client files; schedules calls or visits to assess ongoing needs of prospective clients for catering services.
  • Assists with completion of in-house banquet event orders (BEOs).
  • Helps develop catering budgets; reviews financial reports and takes corrective actions as appropriate to help assure that budget goals are met.
  • Represents members’ needs and interests on applicable club committees.
  • Obtains necessary permits for special events and functions.
  • Critiques functions to determine future needs and to implement necessary changes for increased quality.
  • Attends staff and management meetings to review policies and procedures, future business and to continually develop quality and image of banquet functions.
  • Ensures the security of club’s members and guests’ valuables during catered events.
  • Assumes responsibility of manager-on-duty when necessary.
  • Ensures that proper housekeeping and energy conservation procedures are always followed.
  • Plans professional development and training activities for subordinate staff.
  • Diagrams room layout, banquet item placement and related function details.
  • Meets with other department managers to plan food and beverage aspects of special events organized by the staff members.
  • Manages banquet billing and arranges prompt payment for all events.
  • Updates weekly function information for all affected staff.
  • Serves as liaison between kitchen, service and management staff.
  • Maintains club’s master calendar and function book.
  • Performs special projects as assigned by the Director of Hospitality.

Licenses and Special Requirements

  • Food safety certification.
  • Alcoholic beverage certification.
