Job Description
Essential Functions and Responsibilities
The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily to be qualified for the position. Other duties may be required and assigned.
Office Management & Leadership:
- Serve as the lead team member in maintaining office procedures, including operational planning, office management, and training for new hires.
- In the absence of the manager, oversee all campus activities.
- Provide administrative support for the Campus Manager and the Vice President of Diversity, Equity & Inclusion.
Enrollment & Course Data Analysis:
- Organize, analyze, and report enrollment data to identify student course needs.
- Compare year-over-year enrollment trends to support course scheduling decisions.
- Enter and monitor class section data in Workday, ensuring accuracy.
- Collaborate with the Campus Manager and instructional leaders to maintain precise class section records and provide reports to Student Services to optimize class enrollments.
Instructional Support & Payroll Liaison:
- Generate and distribute Activity Pay Agreements for non-contract instructional hours and adjunct faculty through Workday.
- Act as the liaison with Payroll and the Certification Officer, addressing Workday-related issues and questions.
Room Scheduling & Event Coordination:
- Coordinate room scheduling for classes, meetings, and events using the room scheduling system.
- Prepare rental agreements and Business & Industry Services agreements.
- Arrange room reservations, materials, and hospitality while resolving scheduling conflicts and ensuring compliance with special requirements.
- Maintain contract files and serve as the primary point of contact for internal and external stakeholders.
Budget & Purchasing Oversight:
- Manage purchasing and spending authorizations.
- Process requisitions and ensure proper documentation for budget-related transactions.
Advisory Committee Support:
- Coordinate committee operations by preparing reports, presentations, and meeting materials. Schedule and organize meetings, distribute agendas, accurately transcribe minutes, and manage committee records and databases.
- Foster clear and consistent communication to keep committee members informed and engaged.
Justice-Involved Education Coordination:
- Collaborate with the Campus Manager, Vice President of Diversity, Equity & Inclusion, and Regional Operations to contract, plan, and coordinate education and training programs for justice-involved individuals in partnership with campus and community organizations.
Student Recruitment & Engagement:
- Collaborate with Student Services to identify prospective students and build relationships through in-person interactions and the college's CRM.
- Assist with follow-up via phone, email, text, and other communication tools.
Facility & Technology Management:
- Ensure the facility remains fully functional by monitoring temperature, cleanliness, room setup, and technology needs.
- Troubleshoot office and classroom technology, including audio/visual and instructional support equipment. Submit work orders and escalate concerns as needed.
- Monitor the Oshkosh Riverside Campus website and submit update requests as needed.
Non-Essential Functions and Responsibilities
- Lead and participate in cross-training for campus operational functions to ensure high-quality customer service and provide coverage as needed.
- Represent FVTC and the Oshkosh Riverside Campus at off-campus and community events upon request.
- Support and provide oversight to additional projects as needed.
- Perform related duties as requested by manager.
Minimum Qualifications
Education and/or Experience Requirements:
- Associate degree in related field
- Three years of recent relevant office and customer service experience
Licenses, Certifications, and Other Requirements:
- Advanced skills in Microsoft Word, PowerPoint, and Excel is required, including proficient research skills.
- Advanced oral and written communication skills, including strong composition skills are required.
- Demonstrated ability to handle a variety of complex issues requiring analysis, problem-solving and sound judgment to apply the best solution is required.

Work Environment
- This role is primarily based in an office environment. A hybrid work schedule, including up to one remote day per week, may be available at the discretion of the manager based on business needs.
- Standard hours are Monday through Friday, 7:30 AM-4:00PM, with occasion evening hours as needed.

Physical Requirements
- Sitting: Prolonged periods of sitting while performing tasks and utilizing computer system.
- Mobility: While much of the work is desk-based, occasional mobility may be necessary for attending meetings, office tours, or events within the workplace.
- Lifting and Carrying: Occasional/continuous lifting and carrying of light to moderate items (include weight estimate).
- Climbing: Capability to climb stairs or ladders.
- Fine Motor Skills: Requires precise hand movements for typing and using office equipment.
- Repetitive Motions: Capacity to perform repetitive motions, such as typing, without discomfort or injury.
- Communication: Strong verbal and written communication skills are essential for interacting with staff and stakeholders, both in-person and through electronic means.
- Travel: Some travel may be required (10%).

Additional Information
Pay Rate: $24.53 per hour.
Pay is based on a multitude of factors, including experience, qualifications, education, relevant certifications, internal equity, and market data. Note: Internal applicants' wage will be based upon the applicable compensation guidelines.
