Position Summary
The Overnight Front Desk Associate at The Carlin will provide essential front desk support during overnight shifts. This role involves overseeing the security and operational functions of the building, ensuring that residents, staff, and visitors receive excellent service, and performing essential administrative tasks during the night shift. The Overnight Front Desk Associate will also act as a point of contact for residents and staff, assisting with any needs that arise during overnight hours while maintaining the safety and integrity of the facility.
Key Responsibilities
Front Desk Operations
- Greeting and Assisting Residents and Visitors:
- Welcome residents and guests in a professional, friendly, and helpful manner.
- Ensure visitors sign in and out of the building, following security protocols.
- Provide general information to residents and visitors regarding building amenities, services, and safety procedures.
- Phone and Email Communication:
- Answer the phone, screen calls, take messages, and direct calls to the appropriate parties.
- Respond to general inquiries via email, providing prompt and courteous replies.
Security and Safety
- Monitor Building Security:
- Perform regular checks of the premises, ensuring all entry points are secure and no security issues arise.
- Monitor and report any suspicious activity to management or local authorities as necessary.
- Ensure emergency exits are clear and accessible.
- Emergency Response:
- Serve as the first point of contact for any emergencies occurring during the overnight shift, including medical issues, facility issues, or safety concerns.
- Contact appropriate emergency services (medical, fire, police) if required.
- Handle emergency situations calmly and effectively, following company procedures.
Resident Support
- Assist Residents with Requests:
- Respond to resident inquiries, providing assistance as needed with maintenance requests, access, or general inquiries.
- Ensure that any maintenance requests or issues are properly logged and communicated to the maintenance team for follow-up.
- Provide Assistance with Special Needs:
- Offer assistance to residents who may need help accessing common areas or managing other special needs during the night.
- Provide compassionate support, maintaining a calm and professional demeanor.
Administrative and Clerical Tasks
- Document Incident Reports:
- Accurately document any incidents, maintenance issues, or unusual events during the overnight shift, ensuring proper reporting and follow-up.
- Maintain Shift Logs:
- Record key activities, including visitor logs, maintenance requests, or emergency responses, ensuring records are kept current and accurate.
- Prepare Reports for Day Shift:
- Ensure that relevant information (e.g., visitor logs, security incidents, maintenance requests) is passed along to the day shift staff for continuity and follow-up.
General Facility Maintenance
- Monitor Facility Cleanliness:
- Ensure that common areas are well-maintained and clean, including the front desk area, entrance, hallways, and lobby.
- Report any maintenance issues or necessary cleaning to the appropriate department.
Qualifications
- Experience:
- Previous experience in a customer service, receptionist, or front desk role is preferred.
- Experience in a healthcare, senior living, or housing environment is a plus.
- Skills:
- Strong verbal and written communication skills.
- Ability to handle emergency situations calmly and efficiently.
- Proficiency in basic computer applications (Word, Excel, email).
- Ability to operate office equipment, such as phone systems, security cameras, and computers.
- Personal Attributes:
- Strong attention to detail and organizational skills.
- Ability to work independently with minimal supervision.
- Excellent interpersonal skills and the ability to interact effectively with residents, staff, and visitors.

- Ability to stand, walk, and sit for extended periods.
- May require occasional lifting or moving of light objects (up to 25 lbs).
Work Environment
- Shift Hours: Overnight shift, typically from 11:00 PM to 7:00 AM.
- Setting: The Carlin is a senior living community, and the Overnight Front Desk Associate will work in a busy, interactive environment, interacting with residents and staff throughout the night.
- Security Protocol: Due to the overnight nature of this role, the Front Desk Associate will be responsible for monitoring and ensuring the safety of all building occupants during the shift.
Compensation:
Actual base salary considers several factors including but not limited to geography, job-related knowledge, experience, and budget. The start of the salary range is typically associated with the minimum experience required.
The role is considered Full Time non-exempt so will be eligible for overtime pay in accordance with federal and state law. The anticipated base pay range for the position is $13.00- $13.00 per hour.
