- Project Coordination: Coordinate a variety of projects, functions, and/or program components (e.g., summer school, meetings, travel, and accommodations) to ensure timely completion of activities and services.
- Document Maintenance: Maintain a variety of manual and electronic documents (e.g., budget data, financial records, employee records, reports) to provide up-to-date information and historical reference as required.
- Monitoring Activities: Monitor various activities on behalf of the assigned Administrator (e.g., boundary exceptions, account balances, work orders) to achieve goals and meet deadlines.
- Meeting Participation: Attend a variety of meetings, workshops, and/or training sessions to support the needs of the attendees and provide accurate documentation of information.
- Document Preparation: Prepare a variety of documents (e.g., correspondence, agendas, reports) for the purpose of communicating information and complying with established guidelines.
- Record Management: Process and maintain documents (e.g., interoffice mail, requisitions, travel reimbursements) to ensure compliance with administrative guidelines.
- Procurement of Supplies: Procure supplies and materials to maintain the availability of required items for administrative operations.
- Budget Reconciliation: Reconcile account balances for assigned budget categories to maintain accurate and up-to-date budget records.
- Professional Representation: Respond to inquiries from internal and external parties (e.g., staff, parents, public agencies) to facilitate communication and provide necessary information.
- Scheduling and Coordination: Schedule appointments, meetings, hearings, and travel arrangements for the assigned administrator to ensure efficient operations.
- Education: High school diploma or equivalent required; additional certification or relevant education is preferred.
- Experience: Proven administrative experience, preferably in an educational setting.
- Skills: Strong proficiency in office software (Microsoft Office Suite), excellent organizational and multitasking skills, and the ability to handle confidential information.
- Knowledge: Familiarity with HR processes, financial reporting, and office procedures.
- Abilities: Strong communication skills, ability to work independently, manage multiple priorities, and maintain confidentiality.
