Position Description

The Operating Room Coordinator schedules patients for oral rehabilitation services, from the initial contact with patients and families to third party billing and performs a variety of other administrative functions.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Speaks directly with guardians and gives them appropriate paperwork based on patient’s medical and dental insurance.
  • Collects necessary documentation to schedule OR cases prior to scheduling in accordance with the Dental to OR Scheduling Policy.
  • Sends Surgical Request Form (SRF) to the Operating Room and insurance paperwork to Outpatient/OR Insurance Coordinator for medical clearance.
  • Ensures effective communication between the Operating Room, Patient Access Department, residents, faculty, and guardians regarding scheduled appointments.
  • Communicates directly with Department Directors regarding scheduling issues and release of block-time.
  • Sends pre-treatment estimates and/or prior authorization requests to dental insurance and pre-payment letters to guardians.
  • Sends third party billing company dental insurance, demographic, and billing information.
  • Documents all transactions and conversation with guardians in Dentrix Document Center.
  • Assists with front desk reception:
  • Answers all phone calls into department; retrieves phone messages several times a day and return calls that same day; enters patient demographic and insurance information into Dentrix ; notifies residents of patient arrival utilizing the Dentrix color-coded system; schedule interpreter services appropriately.
  • Uses available technology appropriately
  • Accepts work responsibilities without reservation and follows through to completion with infrequent reminders.
  • Performs assignments accurately, conscientiously and with high standards of quality
  • Ability to work independently and be able to prioritize workload
  • Maintains a positive working relationship with all members of the healthcare team.
  • Participates in Quality Assessment and Performance Improvement activities.
  • Responsible for new/current staff training.
  • To be crossed trained within the whole department of Patient Access
  • Other duties and special projects to be assigned by the Manager and/or Director as needed.
