Founded in 1951 as Casa de Paz y Bien, our legacy continues as a thriving Catholic retreat and renewal center in Scottsdale, Arizona. Rooted in the traditions of Saints Francis and Clare of Assisi, the Casa remains an active religious community of the Order of Friars Minor, serving alongside the Diocese of Phoenix.

As a 501(c)(3) nonprofit and a sponsored ministry of the Franciscan Province of Saint Barbara, the Casa seeks a Development Administrative Associate to play a pivotal role in advancing our mission.

The Development Administrative Associate plays a critical role in supporting the fundraising efforts of the organization by managing the donor database, processing gifts, and generating reports. This position ensures the integrity of donor records, facilitates timely acknowledgments, and provides essential data insights to inform fundraising strategy. The ideal candidate is detail-oriented, organized, and possesses strong analytical and technical skills.

Key Responsibilties
Database Management:
• Maintain and update donor records in the Donor Databases systems, ensuring accuracy and completeness.
• Perform routine data entry, clean-up, and de-duplication to optimize database efficiency.
• Develop and enforce data entry standards to ensure consistency.
• Manage donor segmentation and record coding for targeted outreach and reporting.

Gift Processing & Acknowledgments:
• Accurately record and process all donations, pledges, and recurring gifts.
• Generate and send acknowledgment letters, tax receipts, and stewardship communications in a timely manner.
• Administer church stewardship envelopes
• Maintain weekly reconciliations from all financial sources and data entry to corroborate with finance records to ensure completeness, consistency, and accuracy.

Reporting & Data Analysis:
• Generate weekly fundraising dashboard, other regular and ad-hoc reports on donor activity, fundraising performance, and campaign results.
• Support the development team in analyzing donor trends and identifying opportunities for engagement.
• Provide data insights to enhance fundraising strategies and donor retention efforts.
• Assist in preparing reports for board meetings and leadership review.

Administrative & Team Support:
• Assist with development-related events by managing RSVP lists, preparing materials, and coordinating logistics.
• Support the team in prospect research and donor outreach efforts.
• Ensure compliance with donor privacy regulations and ethical fundraising standards.
• Provide general administrative support to the development team as needed.

Qualifications & Skills
• Bachelor’s degree or equivalent experience in database management, fundraising, or a related field.
• Minimum of 2 years of experience in donor database management, gift processing, or related roles.
• Proficiency in donor management systems (e.g., Salesforce, DonorPerfect, GiveCloud, True Giver, Donor Search or similar).
• Strong analytical skills with the ability to interpret data and generate reports.
• Excellent attention to detail and organizational skills.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.
• Strong written and verbal communication skills.
• Commitment to the mission and values of the organization.
• Ability to maintain Safe Environment Training protocols

Work Environment
• Primarily office-based with occasional evening or weekend work for events.
• Campus tours that require time outside.
