The primary purpose of the Administrative Assistant 2 classification is to manage the administrative functions of assigned administrator or department director. The classification provides back-up support to other departments, as assigned.

Provide high level administrative support. Manage complex administrative functions and office procedures and serve as the primary point of contact for internal and external stakeholders. Receive, analyze, and respond to inquiries addressed to the agency from the public and related governmental organizations. Prepare confidential documents, reports, and correspondence. Take and distribute meeting minutes. Answer phone calls, screen incoming calls, and greet office visitors.
Maintain the Director’s calendar and coordinate meeting schedules. Organize meeting spaces and accommodate room reservations. Manage file systems and maintain accurate records. Oversee office supply inventory and invoice processing in collaboration with the Fiscal Officer. Provide technical advice regarding administrative issues. Research, gather, and analyze information/ confidential documents and reports. Prepare documents and correspondence. Produce copies from standard or confidential hand-written or oral instruction. Manage office procedures and coordinate daily workflow. Attend meetings upon request.
Process incoming and outgoing mail, prepare materials for mailings. Maintain regular and predictable attendance. Prepare materials for mailings. Act as liaison between the various management areas and relay decisions and directives to the management staff. On an as needed basis, support agency teams by performing administrative duties. Maintain regular and predictable attendance.

Any equivalent combination of relevant training and experience including but not limited to: Associate’s degree in business administration or related field with three (3) years of office administration or clerical experience.
