What are the responsibilities and job description for the DATA ENTRY DEPUTY CLERK position at Franklin County Municipal Court?
GENERAL RESPONSIBILITIES
Under the direction of the Traffic Violations Bureau / Communications Department Management, is responsible for the following
The effective delivery of public service by insuring that all traffic, criminal and environmental cases are initiated with the highest degree of accuracy and efficiency.
The ability to meet performance standards
The ability to perform required work tasks on a possible rotating schedule
The ability to perform any related duties as required by TVB / Communications Management
Cross training on other work tasks throughout the office to ensure job responsibilities are met
Advising Management of any uncertainties about a ticket / complaint
CORE RESPONSIBILITIES
Understand the importance of maintaining a professional demeanor, as you are a reflection of the Clerk and the Clerk's Office
Delivers efficient and effective public service by conveying professional and impartial conduct while performing various assigned office related duties
Prepare payable and mandatory tickets and or complaints
Ensure that all cases are initiated in a timely and accurate manner.
Ensure that all tickets / complaints are properly filed in the proper place
PERFORMANCE STANDARDS
Provides respectful, courteous and professional service with a high degree of accuracy in compliance with established office procedures and in a timely manner based upon continual assessment of workload
The ability to prioritize time sensitive tickets / complaints
Maintain a satisfactory attendance record as set forth in the Employee Handbook
DAILY RESPONSIBILITIES
Prep tickets by time stamping every ticket / complaint
Separate mandatory and payable tickets / complaints by courtroom and court date. Then put the tickets / complaints in alphabetical order
Give a count according to the date of the tickets
Look for Saturday, Sunday or holiday court dates to send out a notice to the defendant of a new court date
Take out any juvenile tickets and place in the proper place for pick up
Scan the ticket / complaint, confidential identifier and support of affidavit, if applicable
Place completed case files in the proper place for docket preparation
Refer cases to Prosecutor
If there is no code at all on the ticket / complaint
If the code on the ticket / complaint is invalid or does not exist
Initiate tickets / complaints from the defendants copy if the original has not been turned in
If someone is at the counter trying to pay the ticket / complaint
If someone is here for court that day
Stocking the shelves with traffic, criminal and environmental files for use
Displaying docket sheets in the case for traffic court arraignments
Assisting the public, liaison officers, attorneys, bailiffs, courtroom clerks and other court personnel, when needed
