ADMINISTRATIVE ASSISTANT I Revised: January 3, 2022
Position Description Non-Exempt
OVERALL OBJECTIVE OF JOB
To perform a variety of administrative functions in a timely manner to assure efficient operation of the department; and to act as liaison between the assigned department and other county agencies and/or departments.
ESSENTIAL FUNCTIONS OF JOB
1. Assists department in a variety of clerical, administrative, and departmental projects and duties to include contracts, grants, studies, court preparation and documents depending upon specific department needs.
2. Prepare reports, letters, memos, meeting minutes and other documents as required.
3. Maintains accurate files, statistics, manuals or other department documents.
4. Operates computer, adding machine, copier and other office equipment as needed to perform essential functions of job, including but not limited to Microsoft Office Suite.
5. Schedules interviews, appointments, meetings, etc. for the department.
6. Assists in preparing presentation materials regarding department functions for agencies and groups.
7. Provides customer service and response to internal and external inquiries via telephone, email, or in-person.
8. Assists in processing invoicing, billing or other financial matters for the department.
9. Track inventory of department supplies.
10. Opens, sorts, and distributes mail within the department.
OTHER DUTIES OF JOB
1. Attends meetings, training, and seminars as required.
2. Requisitions supplies for the office as required.
3. Assists other clerical staff with work duties as needed.
4. Performs other job-related duties as required.
5. Travels occasionally when needed to perform essential functions of the job.
SUPERVISION RECEIVED
Receives instruction and supervision from Director or Supervisor in regard to daily work duties.
SUPERVISION GIVEN
None.
WORKING CONDITIONS
1. Works indoors in limited office space, with adequate lighting, temperatures, but subject to fluctuations in ventilation.
2. Frequent exposure to noise, disruptions and stress.
3. Below normal indoor exposure to dust/dirt.
PHYSICAL/MENTAL REQUIREMENTS
1. Must possess the ability to record, convey and present information, explain procedures and follow instructions.
2. Must be able to sit for long periods throughout the work day, with intermittent periods of standing/walking and occasional bending, twisting, stooping, reaching and grasping as necessary to carry out essential job duties.
3. Dexterity requirements range from coordinated movements of fingers/hands; to simple movements of feet/legs/torso as necessary to carry out essential job duties.
4. Sedentary work, with occasional lifting/carrying of objects with a maximum weight of fifty (50) pounds.
5. Must be able to cope with the physical and mental stress of the position.
6. Must be able to pay close attention to details and concentrate on work.
QUALIFICATIONS
A. EDUCATION/TRAINING
High school diploma or equivalency, plus some clerical and computer training
B. WORK EXPERIENCE
One (1) year working experience, preferably in a government or legal administrative environment. Or, any acceptable combination of experience and/or training.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
1. Must be able to speak and understand the English language.
2. Must possess communication and interpersonal skills and the ability to provide
exceptional customer service skills in a professional manner.
3. Must possess initiative and problem solving skills.
4. Must possess the ability to function independently, have flexibility and the ability to work effectively with clients, coworkers and others.
5. Must possess the ability to maintain confidentiality in regard to client and department information and records.
6. Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed.
7. Must possess the ability to make independent decisions when circumstances warrant such action.
8. Must possess excellent organizational skills and ability to coordinate several schedules and details or projects with accuracy and efficiency.
9. Must possess the ability to perform basic mathematical calculations and prepare invoices, billings and/or financial reports.
10. Must possess the ability to compose routine correspondence.
11. Must possess some knowledge of legal terminology and the operation and procedures of court systems and county government.
