Commercial Loan Administrator
Non-Exempt

General Purpose:
In accordance with established policies and procedures, the incumbent provides efficient, accurate and professional service to new and existing commercial loan customers, along with providing administrative support to the Commercial Lending, Administration, Servicing, Collections, and Credit Departments. The incumbent performs a variety of commercial lending administrative functions to support the lenders, credit analysts, and credit manager to ensure accurate, timely and efficient processing of commercial loans. This position reports directly to the SVP/Loan Administration & Operations Officer.
Duties and Responsibilities:
1. Process Management:
- Manage the loan process from the time of loan approval through closing and distribution.
- Responsible for contacting borrower and collecting all closing conditions for each loan including insurance binder, market evaluation, Board approved minutes, signed personal financial statements, tax returns and titles.
- Evaluate HOA documents, meeting minutes, etc. to ensure borrowing and signing authority.
d. Obtains flood determinations, and EDR reports.
e. Processes all transaction postings for loan disbursement, payments and account and wire transfers.
f. Coordinates the preparation of commitment letters using judgement and experience to ensure accurate documentation.
g. Facilitate requests for advances on lines of credit.
h. Process pre-closing deposits made by customers held against closing costs such as fees, appraisals, etc.
i. Collects operating agreements, articles of incorporation and all business formation paperwork for lender review and evaluation.
2. Communications/Coordination:
- Interact directly with outside vendors and attorneys who provide service to the Bank as it pertains to the commercial loan process to include such things as ordering title searches and title reports.
- Work closely with commercial lenders to provide information and support as well as keep colleagues apprised of loan status.
- Contact borrowers to obtain insurance binder prior to loan closing.
- Work directly with commercial customers to answer questions to ensure proficient processing of their loan.
e. In conjunction with the Relationship Manager prepares loan documentation and coordinates closings. Works closely with closing attorney for proper loan documentation and funding. Reviews documentation for adherence with approved terms and conditions.
f. Engage environmental investigation firms for phased environmental engineering reports.
g. Work with Business Development Officers to assist with deposit account opening.
3. Construction Loan Administration:
- When necessary, work with Portfolio Manager to interact with commercial customers, co-workers, contractors and other involved parties to manage the construction loan disbursement process.
- Communicate effectively with all interested parties to ensure an efficient and effective process.
- Protects the Bank’s and customer’s interest through proactive and careful management of the disbursement process.
4. Compliance/Quality Control:
- Remain properly trained and educated on all regulatory requirements that must be satisfied as part of the lending process.
- Work with colleagues to ensure that during any audit (State, Federal, Third Party) that information, reports, etc. are made available.
- Establish and ensure all files are well organized, collateral documents are recorded appropriately, signatures are collected and files contain the required documentation to meet regulatory expectations and are accurate.
- Files all documentation into the electronic file system and original required documents are kept according to retention procedures.
- Follow up on required documents post-closing.
- Ensures title settlements are correct.
5. Product Knowledge:
- Maintain strong working knowledge of commercial loan products and systems to ensure high quality service.

SKILLS/EXPERIENCE/TRAINING REQUIRED:
1. High School diploma or equivalent required.
2. Two or more years of previous processing or related experience is required.
3. Must be able to communicate effectively.
4. A strong working knowledge of personal computers and Microsoft Word and Excel is required.
WORKING CONDITIONS:
1. Physical effort is involved with respect to dexterity and visual attention as needed for the frequent operation of personal computers and other office equipment.
2. Normally seated with freedom of movement on a regular basis; handling of light materials and supplies.
3. Well lighted and ventilated office environment.
