Fiduciary Trust International is seeking a motivated Administrative Assistant (AA) to join our New York City office located in Midtown at One Madison Avenue. This is a hybrid position (three days in the office).
Key Responsibilities
- Support our Portfolio Managers, Relationship Managers, and Trust Officers on a wide range of administrative duties such as meeting coordination, client correspondence, expense reports, etc.
- Assist in the development of prospect and client presentation books and distribution of quarterly mailings
- Assemble customized PowerPoint presentations for use in client meetings, etc.
- Comfortable handling large amounts of data and helping create and print client presentations
- Provide superior customer service to visitors and clients while maintaining the highest level of professionalism. Process client transactions (monetary distributions)
- Maintain and update client data; initiate processing of wire transfers, recurring remittances, discretionary principal payments
- Ensure supporting documentation has been received and is imaged
- Track, monitor and submit reports generated from various internal systems
- Coordinate food/refreshments from local vendors and set up for client visits/events
- Bachelor’s degree or equivalent experience
- Microsoft Office skills (Word, Excel, PowerPoint)
- Ability to provide superior customer service to internal employees and external clients with the highest level of professionalism
- Solid organizational skills, detail-oriented with the ability to multi-task and meet deadlines
- Ability to maintain confidentiality and exercise independent judgment consistent with department guidelines
- Ability to work well under pressure and adapt to unexpected circumstances, in a team-oriented environment
- Experience working within the investment banking/private banking/high net worth industries a plus but not required
- Comfortable working with data and numbers; must be analytical in nature
- Basic knowledge of finance/investments (stock, equities, bonds, fixed income), as our Portfolio Managers work with all asset classes
- Desire to work within the Trust (banking) space and/or investment management preferred
