Role Overview
Fraser's Mathematics Solutions (FMS) provides comprehensive training around high-quality mathematics teaching and learning for educators and families, creates innovative STEAM programs for students, and supplies students with "The Dope Math Product Line" of notebooks, pencils, and rulers to help them ILLUMINATE in the math classroom.
The Administrative Assistant will provide critical operational support to ensure the seamless execution of various company projects and programs. This role requires a highly organized, proactive, and mobile professional who is comfortable working in a hybrid environment with the ability to travel to events, meetings, and various locations as needed.
You will be working closely with the CEO, Project Managers, and other department staff to ensure that all program and project deliverables, deadlines, and schedules are on track.
The ideal administrative assistant must be a creative problem-solver and critical thinker who can demonstrate patience, perseverance, initiative, and keen decision-making skills. Assuring a steady completion of workload in a timely manner is key to success. They should be able to handle administrative projects and deliver high-quality work under minimum supervision.
Duties and Responsibilities (including, but not limited to)
- Provide administrative support to the CEO and direct team, including calendar management, email correspondence, and document preparation.
- Assist with scheduling, coordinating, and confirming meetings, appointments, and travel arrangements.
- Organize and maintain company files, both digital and physical.
- Prepare meeting agendas, take meeting notes, and follow up on action items.
- Coordinate logistics for events, workshops, and training sessions, including setup and breakdown.
- Manage inventory of office and workshop supplies.
- Conduct research to support business operations, vendors, or client needs.
- Respond to general inquiries via phone and email with professionalism and accuracy.
- Perform errands such as picking up supplies or delivering materials as needed.
- Maintain confidentiality of all sensitive information.
- Support onboarding for new hires and clients.
- Coordinate internal and external communications.
- Create proposals, reports, and presentations.
- Manage electronic filing systems and contact lists.
- Assist with social media posts and website updates.
- Create basic marketing materials (flyers, videos).
- Generate invoices and track payments.
- Support special projects as assigned.
- Upon mutual agreement, accept additional responsibilities to support the team, contributing flexibly to the team's success.
Additional Expectations/Qualifications
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Experience in event coordination or customer service is a plus.
- Familiarity with invoicing and expense reporting tools a plus.
- Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively as part of a team.
- Ability to analyze and revise operating practices to improve efficiency
- Proficiency in Google Suite (Docs, Slides, Sheets, Calendar, Drive).
- Proficiency using project management software like Asana a plus
- Proficiency in using social media a plus
- Familiarity with current technologies, like desktop sharing and cloud services
- Must be mobile and able to travel locally as needed.
- Demonstrate reliability, punctuality and professional behavior at all times.
- Represent Fraser’s Mathematics Solutions in the most positive manner with prospective, former, and current clients.

- Hours: Availability to work at least 5 hours per week
