We are seeking a Personal Assistant To The Owner to join our team!
POSITION SUMMARY :
Frauenshuh Inc. is seeking an experienced, highly organized, and proactive Personal Assistant to provide dedicated support to our Owner. In this pivotal role, you will serve as the right-hand person to the Owner—managing a complex mix of business and personal tasks—and also assist his family as needed. The successful candidate will be responsible for streamlining the Owner’s day-to-day operations while handling sensitive information with the utmost discretion. This role demands flexibility, exceptional organizational skills, and a patient approach, particularly when addressing technology challenges.
KEY RESPONSIBILITIES
Executive & Calendar Management
- Schedule Coordination :
- Maintain and update both business and personal calendars.
- Coordinate internal and external meetings, including conference calls and one-on-one sessions.
- Prioritize appointments, manage scheduling conflicts, and ensure the Owner’s time is optimized.
- Travel Arrangements :
- Plan and execute detailed travel itineraries, including arrangements for commercial and private air travel, hotel accommodations, and ground transportation.
- Ensure all travel plans align with company policies and the Owner’s preferences.
Administrative & Personal Support
Communication & Correspondence :Screen and manage incoming calls, emails, and other communications with a high level of discretion.Draft, edit, and distribute correspondence, reports, presentations, and other documents based on the Owner’s direction.Identify and flag important, time-sensitive communications for immediate attention.Document & Filing Management :Develop and maintain an organized filing system (both digital and physical) to manage confidential documents, legal files, and financial records.Assist in the preparation, review, and processing of various documents and forms.Financial Administration :Process invoices and manage bill payments to ensure timely financial transactions.Assist in the preparation and submission of expense reports and other financial documentation.Personal and Family Assistance :Provide support with personal tasks, errands, and administrative work for the Owner.Assist with family-related activities, including coordinating appointments, travel arrangements, and events for the Owner’s family.Handle sensitive personal information with the utmost discretion and confidentiality.Technology Support & Troubleshooting
Technical Assistance :Troubleshoot basic issues with computers, phones, and other technology used by the Owner.Provide patient, user-friendly guidance on technology usage.Liaise with IT support or external vendors when more complex technical issues arise.QUALIFICATIONS
Education & Experience
Bachelor’s degree in Business Administration, Communications, or a related field is preferred.Minimum of five (5) years of executive-level support experience is required.Experience in the commercial real estate industry is a plus.Skills & Knowledge
Technical Proficiency :Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Ability to troubleshoot basic technology issues and provide clear, step-by-step instructions.Communication & Interpersonal Skills :Excellent oral and written communication skills.Ability to read, understand, and interpret legal documents and financial statements.Professional demeanor with the ability to maintain confidentiality and build trust with senior executives, family members, and external contacts.Organizational & Multitasking Abilities :Exceptional organizational skills with meticulous attention to detail.Proven ability to manage multiple projects and priorities simultaneously in a fast-paced environment.Discretion & Professionalism :Ability to handle confidential information with discretion.A supportive, patient approach, particularly when assisting with technology-related tasks for a less tech-savvy Owner.WORKING CONDITIONS
Environment :Full-time, office-based role in a professional, fast-paced executive environment.Frequent one-on-one interactions with the Owner, family members, external partners, and clients.Schedule & Flexibility :Standard business hours with the potential for occasional extended or irregular hours to meet the Owner’s schedule and urgent needs.Some weekend or evening work may be required during peak periods or special events.Travel Requirements :Occasional domestic travel may be necessary to support the Owner’s business and personal engagements.Approximately 10% travel requirement is expected, which may include overnight or extended travel away from the home office.Physical & Mental Demands :The role may require prolonged periods of sitting and computer use.Must be able to manage the mental demands of multitasking in a dynamic, sometimes high-pressure environment.Occasional off-site visits to meetings or events may be required.Confidentiality & Security :Must adhere to strict confidentiality protocols while handling sensitive business and personal information.Work is performed in secure settings, and the candidate must follow company guidelines to ensure data protection and privacy.PHYSICAL REQUIREMENTS
General Activity :The role is primarily office-based, requiring prolonged periods of sitting and extensive computer use.Must be able to remain seated for long durations while maintaining focus on detailed tasks.Mobility & Dexterity :Occasional walking between various office locations or meeting venues may be required.Ability to stand for short periods during meetings, presentations, or events.Lifting & Handling :Occasional lifting and moving of office materials, files, or equipment is required, with a maximum weight of approximately 25 pounds.Frequent use of fine motor skills for typing, filing, and handling documents.Environmental Considerations :Work is performed in a standard office setting with moderate noise levels.The position may occasionally require travel to external meetings or events, necessitating some physical stamina.This Job Description is intended to represent the general nature and level of work performed by individuals assigned to this job.
