Role
This position coordinates the day-to-day budget and fiscal operations for the department of Curriculum, Instruction and Innovation department.
Essential Functions
Reporting directly to the Director, the Budget Coordinator in CII, performs the following duties:
- Prepares budget worksheets, including data from prior years.
- Monitors current year expenses and revenues for all funds (restricted and unrestricted).
- Prepares and analyzes routine and periodic budget reports.
- Researches and recommends corrective actions in the event that budget variances occur.
- Provides explanation to Directors, Curriculum Specialists, and Secretaries of the established budget policies, procedures, and reports.
- Facilitates all required budget actions to ensure that all levels of management are able to attain programmatic goals through appropriate procedures.
- Prepares budget transfers for elementary/secondary CII department.
- Reviews for accuracy all elementary/secondary CII budget transfers, accounts payable requests, mileage reimbursements, and recommends appropriate changes.
- Provides assistance and guidance to Directors, Curriculum Specialists, and Secretaries, in the resolution of budget variances should they occur.
- Assists in the identification and preparation of long-term budgetary goals.
- Prepares, types, and proofreads materials, reports, and presentations for executive meetings and the public on behalf of the school system.
- Prepares Contracts/MOU’s for routing to Legal Services and the Superintendent’s office for approval.
- Manges funds and spending for department and school-based travel and conferences
- Completes and assists with Purchase Orders
- Prepares and monitors individual budgets for 31 cost centers for CII content areas and programs.
- Completes Journal Entries when required.
- Tracks Professional Leave Days per the FCTA contract.
- Tracks the purchase and replacement cycle of devices through inventory process for the department.
- Ensures internal controls of the CII Budget including accountability, administration and content-based budgets.
- Responds to inquiries from stakeholders regarding department budget entries, submissions and adjustments.
- Keeps abreast of changes and developments in the profession by attending training sessions and conferences as requested or required.
- Answers telephone, takes messages, greets visitors, makes appointments, and gives information.
- Uses experience and judgment to resolve problems and prioritize work on behalf of the department.
- Maintains proficiency in the use of technology to meet administrative needs and trains others as needed.
- Orders and receives supplies and checks invoices.
- Manages the office in the absence of a confidential secretary.
- Associates Degree in business, accounting or closely related or an equivalent combination of experience.
- Three years of budgetary or administrative experience which includes preparing and administering a large budget.
- Demonstrated proficiency in the use of office technology to meet administrative needs.
- Demonstrated proofreading proficiency, and ability to create tables in a word processing program.
- Demonstrated ability to effectively use word processing, database spreadsheets, and e-mail software.
- Demonstrated ability to maintain confidentiality and communicate clearly and concisely in oral and written form.
- Demonstrated ability to work under pressure and maintain flexibility.
- Demonstrated ability to meet deadlines and work independently.
- Capable of performing the essential functions of the position with or without reasonable accommodations.
