PRIMARY FUNCTION :
To perform dispatching and clerical duties for the Transportation department, including :
Providing answers to questions posed from parents, schools, and central office administrators.
Making emergency and non-emergency calls on the phone or two-way radio to render important information.
Providing precise logistics for drivers to follow on their routes.
Facilitating the smooth completion of secretarial responsibilities and providing additional clerical support as needed.
Qualifications :
High School diploma required.
Working knowledge of computer technology and software.
Ability to prioritize and manage multiple and varied tasks.
Ability to work well with the public, student families, and team members.
Reports to : Supervisor of Transportation
RESPONSIBILITIES :
- Maintains an up-to-date listing of school buses and assigned drivers and assistants.
- Assures ready access to an up-to-date route sheet for each scheduled route.
- Assures that each scheduled route is appropriately covered by utilizing available relief or substitute drivers / assistants when needed.
- Maintains professional working relationships with assigned drivers and assistants.
- Demonstrates a comprehensive knowledge of roads and streets in Fredericksburg, Virginia.
- Operates two-way radio base system.
- Responds to radio transmission from bus drivers, following up as appropriate.
- Communicates with department employees, dispatching to needed locations in response to routine requests or emergency situations.
- Provides information regarding bus operations to parents, school administrators, law enforcement agencies and assigned drivers and monitors.
- Aids school administrators regarding scheduled and unscheduled bus transportation to include the scheduling of athletic trips.
- Creates and maintains car routes for McKinney-Vento students and those enrolled in alternative education placements.
- Communicates with parents, Supervisor, school administrators, and department employees, including receiving requests, questions, concerns and suggestions and providing routine information and assistance.
- Communicates orally and in writing with school system staff, parents, and the general public.
- Performs a variety of clerical support duties as assigned, types correspondence, memos and other items.
- Works flexible hours to support special work assignments as needed.
- Distributes mail and accepts package deliveries, checking to ensure deliveries are valid.
- Manages office, addressing concerns and reporting them to the Supervisor.
- Manages all staff celebrations and sympathy cards and communicates with staff and management team.
- Processes supply purchase orders and requisitions utilizing and maintaining a supply tracking system.
- Orders supplies for the office and manages inventory replenishing as necessary.
- Communicates school bus and office maintenance work requests, and maintains tracking records for the Transportation Department.
- Plans and orders meals / snacks for staff meetings and events.
- Prepares invoices to Supervisor for approval.
- Maintains flow of financial accounts in a timely and efficient manner.
- Monitors and tracks fuel deliveries and distribution.
- Track Transportation vehicles monthly mileage on an Excel spreadsheet.
- Maintains regular attendance.
- Additional duties as assigned.
