Fredrick Oak Consulting is seeking an experienced Executive Support Specialist to provide direct support to the Chief Human Capital Officer (CHCO) and Deputy Chief Human Capital Officer (DCHCO) at the Department of Energy's Forrestal Building in Washington, DC.
Position Overview:
Working directly with senior HC leadership, this role involves handling sensitive matters requiring high-level interaction with federal, state, and local government agencies and private industry officials. The position demands excellent judgment and discretion in managing confidential information.
Key Duties and Responsibilities:
- Manage complex calendar scheduling for CHCO and DCHCO, including coordination with high-profile offices such as the Office of the White House, while exercising strategic judgment in priority setting and time management.
- Oversee comprehensive correspondence management, including drafting and editing memoranda, presentations, policies, and special reports, while ensuring proper formatting, branding, and grammatical accuracy.
- Coordinate and manage high-level meetings, including preparation of talking points, read-ahead materials, and logistics for HC Community and Resource Manager Biweekly meetings, as well as managing S1 Weekly Report process.
- Lead the autopen management process, reviewing SES certificates and maintaining authorized signature delegation for properly approved documents while managing detailed logging systems.
- Coordinate external review requests from OMB, OPM, OIG, GC, and Congress, including analysis, assignment, and tracking of responses while ensuring timely submissions.
- Manage email distribution lists and Teams site access, maintaining accuracy and security of communication channels across the organization.
Required Skills/Abilities:
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

Education and Experience:
- Minimum 5-7 years of executive support experience in a government or corporate setting
- Demonstrated experience managing complex calendars for senior executives
- Track record of handling sensitive and confidential information
- Experience coordinating with high-level government officials and offices
Physical Requirements:
- Must obtain and maintain appropriate security clearance/suitability determination
- Occasional travel may be required
- Must be comfortable working in a high-visibility environment with senior leadership
