We are seeking a highly organized and detail-oriented Operations Support Assistant to join our team in Buffalo, New York. As an Operations Support Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. Your primary responsibilities will include providing administrative support to our team of Certified Public Accountants (CPAs) and Consultants. This role will work directly with our Office Administrator assisting in various office tasks all ensuring that our Firm is maintaining consistent and accurate communication with our clients with the objective of meeting all client deadlines. This could include assisting with client communications, being a backup to various administrative personnel and performing general clerical duties.
The ideal candidate will have excellent communication and organizational skills, a strong attention to detail, and the ability to work in a fast-paced environment.
About the Job
- Scheduling meetings - on & off-site, coordinating with internal and external participants
- Reserving conference rooms and work spaces for employees utilizing software program
- Preparing, mailing, and distributing letters, correspondence, emails, and reports as needed using Microsoft Office
- Assist with maintaining Outlook calendars for leadership
- Assist with travel arrangements as needed – Air, Hotel & Car – using Firm travel agency
- Scheduling and coordinating document deliveries via various systems including couriers
- Annual conference and event coordination including registration, travel, Meetings and refreshments
- Schedule candidate interviews with the Human Resources Department
- Other administrative tasks to assist other departments during peak busy seasons
What We Are Looking For
- High school diploma or equivalent; additional education or certification in office administration is a plus
- Proven experience as an office assistant or in a similar role
- Proficient computer skills, including MS Office (Word, Excel, PowerPoint, Outlook) and basic tax and accounting software
- Minimum 2 days a week in office

The compensation for this role varies based on experience and falls within the range of $48,000 to $52,000 plus overtime. These salary ranges are for applicants based in Western New York.
