Freedom Preparatory Academy Charter Schools (www.freedomprep.org) is a network of PreK-12 free public charter schools serving students in Memphis, TN, and Birmingham, AL. Our mission is to prepare all students in grades PreK-12 to excel in college and in life. Since our founding in 2009, we have grown from a class of 96 sixth grade students to now serving over 1950 students across multiple campuses. POSITION OVERVIEW
The School Receptionist & Student Activities Coordinator is responsible for managing the front desk operations, greeting visitors, handling incoming calls, and maintaining effective communication between parents, staff, and students. Additionally, this role will be responsible for overseeing student activities. This is a critical position requiring strong communication skills, attention to detail, and the ability to work effectively in a fast-paced school environment.
Work Schedule
Full-time during school hours, with occasional additional hours for special events or meetings on some nights and weekends

Reports directly to the Head of School (principal)

ESSENTIAL JOB FUNCTIONS
Front Office Management:
• Greet and assist students, parents, staff, and visitors professionally and courteously.
• Answer and direct phone calls, take messages and respond to general inquiries.
• Manage the school’s front desk, ensuring it is organized, welcoming, and efficiently operating.
• Assist with scheduling appointments for visitors with administrators, faculty, and staff.
• Maintain and distribute school forms, handbooks, and other documents to parents and visitors.
• Handle incoming and outgoing mail and packages.
• Ensure that the school’s visitor sign-in and sign-out procedures are followed using Raptor.
• Support the office staff with various administrative tasks as needed, such as filing, copying, and data entry.
Activities Coordinator Duties:
• Plan, organize, and oversee a variety of school activities, including cultural events, academic programs, and extracurricular activities, not including athletics.
• Maintain the Linq Connect platform by updating it with upcoming events and activities throughout the school year.
• Collaborate with staff, teachers, and student leaders to ensure successful event execution.
• Maintain and manage event calendars, ensuring no overlap or scheduling conflicts.
• Coordinate logistics for events, such as venues, equipment, materials, and catering.
• Collaborate with the school finance manager to track budgets for activities and events, ensuring cost-effective management.
• Serve on the team responsible for publishing and submitting the annual activities calendar to the Network Operations team.
Communication Management:
• Develop and distribute communication materials, including newsletters, announcements, and promotional content, to students, parents, and staff.
• Submit communication requests to the Director of Marketing and Communication regularly updating with news, achievements, photographs, social media posts, and upcoming events.
• Act as a point of contact for inquiries from parents, students, and external parties related to school activities.
• Create and maintain a consistent tone and style for all communications, aligned with the school’s mission and values.
Additional Responsibilities:
• Assist with the student enrollment and registration process.
• Assist with student check-ins and check-outs during the school day, ensuring proper documentation and parental consent.
• Maintain confidentiality of all student information in compliance with FERPA (Family Educational Rights and Privacy Act) and school policies.
• Support special projects or initiatives as requested by school leadership.
• Provide general administrative support as needed, including managing student information systems and data entry.
•Maintain a positive, professional, and approachable demeanor at all times.
• Other Duties as required by the Head of School
Required Qualifications
Education:
High school diploma or equivalent (Associate’s degree or higher preferred).
Experience
Prior experience as a receptionist, administrative assistant, or as an event coordinator
Previous time working/volunteering in a K-12 school setting is highly desirable.
Technical Skills: Proficiency in office software (e.g., Microsoft Office, Google Workspace) and familiarity with school management systems.
Interpersonal Skills: Excellent verbal and written communication skills, with the ability to interact professionally with diverse groups of parents, students, faculty, staff, vendors, funders, and network administrators.
