Freedom Preparatory Academy Charter Schools (www.freedomprep.org) is a network of PreK-12 free public charter schools serving students in Memphis, TN, and Birmingham, AL. Our mission is to prepare all students in grades PreK-12 to excel in college and in life. Since our founding in 2009, we have grown from a class of 96 sixth grade students to now serving over 1950 students across multiple campuses. POSITION OVERVIEW
The Student Records & Attendance Manager is responsible for overseeing the management and maintenance of student records, ensuring compliance with institutional policies, data security standards, and legal requirements. This role involves working collaboratively with staff, faculty, and administrators to provide efficient, accurate, and accessible record-keeping services that support students and Freedom Prep.
WORK SCHEDULE
Full-time during school hours, with occasional additional hours for special events or meetings on some nights and weekends
The Student Records & Attendance Manager is expected to arrive 30 minutes before the start of school and leave no earlier than 30 minutes after dismissal is complete.
REPORTING STRUCTURE
This position reports to the Head of School and receives network support from the Network SIS Manager.
ESSENTIAL JOB FUNCTIONSRecords Management:
• Maintain PowerSchool and be the liaison for SCS and FPA for any PowerSchool issues (i.e., EIS errors, attendance errors, etc.)
• Oversee the creation, maintenance, updating, and archiving of student records in compliance with institutional and regulatory standards.
• Ensure the accuracy and completeness of student data, including enrollment, grades, attendance, and graduation records.
• Manage digital and physical records systems, ensuring smooth transitions during system upgrades or migrations.
Attendance
• Maintain accurate student attendance and absences records, ensuring compliance with district and state regulations.
• Track and report daily student attendance, including tardies, early departures, and excused/unexcused absences.
• Process requests for student leave, including medical and vacation leave, ensuring that appropriate documentation is provided.
• Perform physical body counts of students as requested by the HOS or Network SIS Manager.
• Communicate with parents regarding student absences, following up as necessary.
• Coordinate with teachers and school administration to address attendance concerns.
• Prepare and submit attendance reports for school administrators and other relevant authorities.
• Assist in implementing school attendance policies, including the management of chronic absenteeism cases.
• Work with the school's social worker and SART team to identify students with attendance issues and provide support.
Enrollment
• Assist with the student enrollment and registration process.
• Assist with student check-ins and check-outs during the school day, ensuring proper documentation and parental consent.
• Maintain confidentiality of all student information in compliance with FERPA (Family Educational Rights and Privacy Act) and school policies.
Compliance and Security:
• Maintain compliance with applicable laws and standards, such as FERPA (Family Educational Rights and Privacy Act).
• Develop and enforce policies to safeguard the confidentiality and integrity of student records.
• Conduct regular audits to ensure data accuracy and compliance.
Data Reporting and Analysis:
• Generate reports and provide data analysis for internal and external stakeholders.
• Collaborate with departments to provide accurate records for accreditation, state reporting, and institutional research.
Customer Service:
• Address inquiries from students, parents, and staff regarding student records in a professional and timely manner.
• Assist students with transcript requests, enrollment verifications, and other record-related needs.
Supervision and Training:
• Lead and train the school-based records management staff, ensuring high performance and adherence to policies.
• Provide ongoing professional development opportunities for the team with support from the Manager of Student Information Systems.

Minimum QualificationsEDUCATION
Bachelor’s degree in education administration, information management, or a related field OR
EXPERIENCE
•At least 3 years of experience in student records management, registrar services, or a related roleProficiency with student information systems (e.g., Banner, PowerSchool) and data management tools
SKILLS:
• Strong organizational and analytical skills.Excellent interpersonal and communication abilities.
• Familiarity with compliance standards such as FERPA.
• Proficiency in database systems and reporting tools.
• Preferred QualificationsExperience in K-12 education settings.
• Certification in records or data management
• 5 years of PowerSchool experienceA strong commitment to supporting educators and the overall mission of Freedom Preparatory Academy.
