The Freedom Village of Bradenton is recruiting for a Business Office Manager I . In this role you will Provide support to the Director of Financial Services and the Executive Director. The Business Office Manager is responsible for coding invoices for accounts payable data entry, following up with staff and vendors to ensure all invoices are received each month, clerical support duties, prepare financial qualification worksheet and contracts for prospective residents and assisting the Accounting Director in the day-to-day coordination and operation of the department. This person is a key member of the Community’s team adhering to policies and procedures and upholding the Community’s mission, philosophy, values and the Company’s vision, principles and Hospitality Promises
Here are a few of the daily responsibilities of a Business Office Manager:
Residential-related Financial Functions
- Attend and interact in community Round Table meetings to obtain knowledge about resident census activity (move-ins, move-outs, transfers, and deaths).
- Acquire copies of Residency Agreements and Resident Handbook. Review and become knowledgeable with the community services provided.
- Report and reconcile census changes (move-ins, move-outs, transfers, and deaths) to Finance department following their standard procedure and reporting mechanisms.
- Daily electronic processing of check payments received, deliver cash deposits to bank and ship Entrance Fee payments via Federal Express on a weekly basis, at minimum.
- Prepares financial qualification for prospective residents and submits for approvals within required timelines.
- Prepare all closing documents required for prospective residents closing.
- Record and maintain data for all closings and entrance fee refunds. Maintains entrance fee refund log and prepares all documents necessary for entrance refunds within required timelines.
- Maintains log on prospective resident closings and updates regularly.
- Update C3Linc with all closing and entrance fee refund information to include uploading contracts and supporting documents.
- Prepares contracts via DocuSign as needed.
- Conducts title search on real estate property
Accounts Payable Functions:
- Serves as resource for community department directors on the chart of accounts, invoice coding, approval process and deadlines following the standard procedure.
- Oversees the function of routing accounts payable invoices for approval within 48 hours.
- Reviews accounts payable invoices for accuracy and codes them for entry.
- Reconciles the credit card log to invoice. Verifies that all credit card receipts are accounted and submits documents to Accounting department for replenishment of the balance as needed.
- Reviews employee expense reports for accuracy and completeness.
- Uploads coded invoices (including employee expense reports) to headquarters for processing daily.
- Assists the Director of Financial Services by accruing vendors’ invoices at month end to ensure expenses are captured for period incurred. This may require contacting vendors, reviewing reports for missing invoices and contacting staff along with any other means to accomplish task.
- Responds to vendor payment inquiries.
Here are a few qualifications you need to have:
- Associate degree in accounting, Business or other related area required
- Bachelor’s degree in accounting, Business or other related area preferred.
- Two years’ experience in accounts payable preferred
Here are a few skills you need to have :
- Proficiency in the English language enabling the employee to read, write, comprehend, and communicate simple instructions, correspondence, memos, etc.
- Must possess high level of proficiency with Microsoft Office Suite products
- Ability to type 40 or more words per minute
- Must demonstrate excellent telephone communication skills.
- Ability to prepare accurate and timely reports to meet required deadlines
- Ability to train small to medium sized groups of employees
- Good communication skills (oral and written)

Schedule: Monday -Friday
Salary: $25.00-$26.90 per hour depending on experience
