Job Summary
In this role, the Provider Recruitment Specialist is primarily responsible for identifying, sourcing, and engaging qualified physician and Advanced Practice Providers (APP) candidates to meet FHNs provider staffing needs. This role works closely with the Director of Physician/Provider Recruitment Services to implement effective sourcing strategies, build strong candidate pipelines, and support the overall recruitment process. The Specialist also contributes to the administrative functions of the Medical Staff Office, ensuring seamless operations.
Job Responsibilities
Sourcing/Recruitment
- Collaborate with Director of Physician/Provider Recruitment Services to develop and execute sourcing and recruitment strategies to mee the hiring needs of our organization.
- Leverage advanced, data-driven sourcing and recruitment techniques and tools, including online job boards, social media platforms, professional networks, and direct outreach, to identify and attract qualified physician/APP candidates.
- Proactively source and recruit passive candidates through advanced search techniques and database mining.
- Responsible for Candidate Clearance Process, ensuring an accurate database exists with all candidate presentations by physician/APP placement agencies.
- Engage with prospective candidates through personalized messaging, email campaigns, and phone calls to assess candidates interest, qualifications and fit for available positions.
- Screen and evaluate candidate CV and credentials to determine their suitability for specific physician/provider roles, providing concise, accurate, and timely documentation for Director and members of the Leadership and Executive teams for their evaluation.
- Coordinate and schedule interviews in a timely and urgent manner between candidates and FHN leadership, including coordinating logistics, communicating with stakeholders, and ensuring a smooth interview experience for the candidate and FHN interview panel.
- Manage post-interview processes such as candidate follow-ups, feedback collections, and scheduling follow-up interviews.
- Provider regular updates and reports on sourcing activities, candidate pipeline, and recruitment metrics to the Director of Physician/Provider Recruitment Services, tracking key recruitment metrics such as time-to-fill, cost-per-hire, and candidate satisfaction scores to ensure continuous improvement in sourcing and recruitment efforts.
- Develop and maintain a pipeline of qualified physician/APP candidates for current and future hiring needs.
- Serves as a liaison between locum tenens companies and FHN. Secures locum coverage in conjunction with the Director. Manage confirmations of locum physicians/APPs.
- Maintain database of all sourcing activities to assist the Director in evaluating cost of locum services, length of position vacancies, and maintenance of an updated Applicant Tracking System using advanced technologies (e.g., Practice Link ATS).
- Organize, schedule, and facilitate physician/APP orientation days. Assist with evaluation and recommendations for improvements in orientation process.
- Assist with organizing, scheduling, and facilitating physician/APP candidate on-site interviews.
- In coordination with the Director, send LOI/contracts to providers and stay in contact with providers throughout the process.
- Ensure compliance with federal and state regulatory requirements.
- Assist with other related tasks and projects as needed.
Medical Staff Office
- Cross-train with MSO staff on credentialing and provider recruitment processes to ensure seamless recruitment operations.

Provide support to MSO staff when needed/requested to include:
- Provide Medical Staff department meeting and committee support.
- Secondary verification for credentialing.
- Call schedule support for all departments.
- Weekly Acute and Ambulatory record completion emails/texts.
- Daily monitoring of incomplete records.
- Support the Chief Medical Officer and other members of the Leadership Team.
- Support the Chief Medical Officer in scheduling meetings and ensuring attendance. Keep meeting minutes at necessary team or committee meetings. Standardize agendas for all departments in alignment with organizational pillars.
- Coordinates work with department directors on agenda and educations; ensures external vendors are approved by all Chiefs.
- Create and maintain an updated contact list of all providers.
- Maintains master schedule of time off with all providers.
- Maintains current confidential credential and peer review files on medical staff and Allied Health staff.
- Assume responsibility for when provider leaves organization to ensure exit checklists are complete and filed for record keeping.
- Assume responsibility for when provider starts with the organization to ensure standardized onboarding, checklist completion and filing for record keeping.
- Assist with other related task and projects as needed.
Requirements
Education: Associates Degree, Bachelors Degree in Human Resources of related field preferred
Required Experience: 2 5 years of healthcare related experience
Special Skills and Abilities:
- Proficiency in using recruitment platforms and various Applicant Tracking Systems (ATS) for sourcing healthcare professional.
- Ability to analyze and utilize recruitment metrics to refine sourcing strategies.
- Proven skills and abilities in building and maintaining relationships with passive/active physician/APP candidates through personalized communication, social media engagement, and email marketing.
- Strong organization and multitasking skills, with ability to manage multiple recruitment projects simultaneously while maintaining high accuracy in recordkeeping.
- Experience working closely with multidisciplinary teams, department directors, clinical leadership, and executive team members to align recruitment efforts with the organization.
Licensure/Certification/Registration: CMSR PRIT, FASPR and/or similar certification within 3 years of start
