BASIC FUNCTION: The Group Rooms Coordinator assists in functions within the area of Collections. All duties are to be performed within the guidelines of the company’s policies and procedures, and Internal Control Standards and objectives.
QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE

Must be a minimum of 21 years of age.
Must have High School Diploma or High School Equivalency Diploma (HSED).
Must have relevant experience, previous credit and collections experience preferred.
Must be able to obtain and maintain a valid gaming license.
Must be able to read, write, speak and understand English. Must be able to respond to visual and aural cues.
Must work nights, weekends and holidays as required.
Employment is contingent upon a favorable outcome of a background investigation and drug screening.
Must possess excellent communication skills.
Must be able to write routine correspondence and to speak effectively to the public, employees and customers.
Must have the ability to effectively interact with customers and employees.
Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner.
ESSENTIAL FUNCTIONS:
1. Assists in developing progressive concepts of financial control and debt collecting and implements these concepts as standard procedures.
2. Reviews all group booking reports from Sales. Matches group information with all systems and confirms booking numbers are correct.
3. Provides accounting, auditing and analysis services for account portfolios.
4. Prepares reports.
5. Handles all delinquent accounts in securing payments and, prepares form letters or mailings in accordance with this task.
6. Provides exceptional customer service to all patrons and communicates in a pleasant, friendly, and professional manner at all times. Maintains a professional work environment with supervisors and staff.
7. Meets the attendance guidelines of the job and adheres to regulatory, departmental and company policies.
8. Attends all necessary training meetings.
9. Assists in other projects, as directed.
10. Duties, responsibilities, requirements and expectations pertaining to this job are subject to change as needed. Hours are determined by 24-hour schedule.
11. Handles all billing inquiries, adjustments, and concerns.
12. Performs and monitors group rooms functions including but not limited to set up and administration.
13. Inputs data into computer system with 100% accuracy.
14. Blocks groups (tentative and definite) in all systems.
15. Attends Group Rooms meeting and presents status reports on blocks, pick-up, cancellations, billing and package codes
16. Interacts daily with Planning Managers, keeping up-to-date on changes, VIP’s amenities and billings.
17. Enters correct package codes and billing to all future groups and always audits them before turning over to Managers.
18. Runs all pertinent reports for groups: Detailed Guest List, Detailed Reservation List, Rooming Lists, etc.
19. Attends all Pre-Conference and Conference Review Meetings as needed.
20. Works in detail with outside Meeting Planners when necessary.
21. Sells hotel rooms and resort facilities by phone based on the needs and desires of the caller.
22. Takes reservations and accurately enters information into the computer system.
23. Answers inquiries of room rates, room descriptions, outlets and room locations, local area, resort facilities, special promotions, etc.
24. Performs other duties as reasonably requested by Management.
