Job Description:

We are seeking a skilled and motivated Operations Manager to join our team. As Operations Manager, you will play a crucial role in ensuring in ensuring the efficient functioning of CBusa's Clerical and Operations Departments. This position requires close collaboration with external vendors to oversee custom programming, data mapping, privacy, systems integrity, and other automation initiatives within CBusa and its Collection Software systems. Additionally, the Operations Manager works closely and is a backup for the Chief Information Officer (CIO) and external support engineers and technicians to conduct regular audits and reviews as part of CBusa's SOC 2 Type II HITRUST compliance efforts.

As a Professional and Administrative employee, the Operations Manager leverages their advanced knowledge and educational background to perform their duties. They exercise discretion and independent judgment in carrying out their responsibilities. Furthermore, the Operations Manager serves as a member of the Board of Advisors and assumes the role of Corporate Secretary, providing regular reports directly to the President and the Board of Directors.

Key Responsibilities include the following, other duties may be assigned as needed.

Supervise the Clerical and Operations Department, ensuring smooth day-to-day operations and efficient resource allocation.

  1. Collaborate with external vendors to facilitate custom programming and enhancements on CBusa's CRM software.
  2. Work closely with the CIO to prepare for and participate in audits, specifically focusing on CBusa's SOC and HITRUST compliance.
  3. Develop and maintain policies and work instructions to ensure adherence to industry standards and best practices.
  4. Facilitate effective communication and collaboration with the Board of Directors and Shareholders to align operational strategies with organizational goals.
  5. Implement process improvements and streamline operations to enhance efficiency and effectiveness.
  6. Monitor and evaluate departmental performance, identify areas for improvement, and implement corrective actions as necessary.
  7. Foster a positive work environment, providing guidance and support to team members to promote professional growth and development.
  8. Stay updated with industry trends and regulations related to operations management, security, and compliance.
  9. Assist and oversee the onboarding and termination of employees within Operations and Clerical Departments.
  10. Consults with department managers and supervisors to discuss system solutions consistent with organizational objectives.
  11. Attends meetings and seminars to stay abreast of trends in the industry.

Policy Development: Ability to develop and implement policies and work instructions that align with industry standards and organizational goals.

Decision-Making: Sound judgment and decision-making skills to assess situations, consider the available information, and make informed decisions.

Time Management: Excellent organizational and time management skills to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.

Adaptability: Flexibility and adaptability to work in a dynamic and fast-paced environment, adjusting priorities as needed to meet changing business needs.

Physical Requirements: The physical requirements outlined are indicative of the tasks that must be performed by an employee to successfully fulfill the essential functions of this position. On occasion, the employee may need to lift and/or move objects weighing up to 25 pounds. This position necessitates specific vision capabilities including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus and adjust visual focus.

Numerical Aptitude: Proficiency in numerical skills is essential, including the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

QUALIFICATIONS:

Bachelor's degree from a four-year college or university; at least two years' related Operations experience, successful business experience and/or training; or equivalent combination of education and experience. Computer software, networking and/or troubleshooting experience.

Proven experience in overseeing employees or departments, preferably in a similar managerial role.

Familiarity with Privacy, Confidentiality and Security auditing processes.

Excellent communication skills.

Strong analytical and problem-solving abilities to identify areas for improvement and implement appropriate solutions.

Demonstrated leadership skills to motivate and inspire a team.

Detail-oriented and organized with excellent time management skills.

Remote or Hybrid Work Option:

After an initial period of 180 days, and subject to performance evaluation, this position offers the possibility of a remote or hybrid work arrangement.
