PAYROLL AND BENEFITS ADMINISTRATOR
Responsibilities
- Supports and processes two bi-weekly payrolls (hourly and salaried) for a workforce of 500 employees, ensuring accurate and timely payments in compliance with federal, state, and local regulations.
- Supports end-to-end payroll functions, including timekeeping review, earnings and deductions, garnishments, tax withholdings, and direct deposits using Workday and ADP platforms.
- Assists with onboarding payroll activities, including processing all new hire documentation such as Form W-4, I-9, and direct deposit forms, and coordinating background screenings.
- Conducts new hire orientations, presenting company policies, procedures, and benefit information while collecting required tax, personal, and payroll data for system entry.
- Processes offboarding and termination paperwork, including final pay calculations, benefit termination, COBRA documentation, and coordination of company property return.
- Maintains and updates employee records such as direct deposit details, address changes, and tax withholding updates, ensuring timely and accurate input into the system.
- Tracks and monitors hourly employees' leaves of absence, maintaining proper documentation and ensuring compliance with company policy, FMLA, and ADA requirements.
- Provides support in benefits administration, including open enrollment processing, benefit plan changes, and communication between employees and benefit vendors.
- Reviews job applications for completeness, enters applicant data into HR systems, and maintains accurate applicant tracking records.
- Maintains electronic personnel files in a secure and organized manner, in compliance with document retention and audit requirements.
- Provides guidance and support to new supervisors on timekeeping systems, timecard approvals, leave request workflows, and other payroll-related processes.
- Collaborates with HR, Finance, and department leaders to resolve payroll issues and respond to employee inquiries regarding compensation and benefits.
- Assists with payroll and benefits audits and reporting, including preparation of internal documentation and year-end reporting in compliance with regulatory standards.
Qualifications
- Education and Experience:
- Bachelor’s degree in human resources, Accounting, Business Administration, or a related field preferred.
- 3–5 years of experience in payroll and benefits administration.
- Hands-on experience with Workday and ADP (Workforce Now, ADP Enterprise, or similar platforms) required.
- Proficient in payroll processing systems and benefits platforms.
- Strong knowledge of federal, state, and local payroll tax laws and regulations.
- Excellent attention to detail with a high degree of accuracy.
- Strong organizational and time management skills, with the ability to manage multiple deadlines.
- Confidentiality and integrity in handling sensitive employee and payroll information.
- Effective communication skills, both verbal and written.
- Preferred Qualifications:
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
- Experience supporting payroll and benefits for multi-state and/or international employees.
- Knowledge of ACA, COBRA, FMLA, and other employment laws and compliance requirements.
- Experience with HRIS integration and data management using Workday.
- Demonstrated proficiency in Microsoft Excel (pivot tables, v-lookups) and other Microsoft Office applications.
- Familiarity with benefits administration tools, open enrollment processes, and vendor management.
