We are looking for a Client Service Coordinator (CSC) to join our team. As a CSC, you will act as the primary contact for our clients and a technology lead as part of our Client Accounting Services (CAS) department. This position will regularly interact with the client engagement team, technology team, clients, and all levels of staff. This role requires supreme integrity, trust, and commitment to confidentiality and diplomacy. The ideal candidate must show initiative, have strong technical skills, be self-driven, resourceful and think outside of the box.
This position can be hybrid or in-office at either of our Chicago suburban offices: Frankfort, or Northbrook. There is potential to be fully remote, ideally within 2 hour driving distance from one of our offices for in-person meetings. We offer flexible schedules to allow for work/life balance.
Essential Functions
- Responsible for maintaining direct communication between the client engagement team and its clients to ensure a smooth flow of all projects while meeting all the needs and expectations of our clients in a timely manner
- Ability to adapt to new technologies and learn new skills as needed to act as a bridge between CAS and Technology departments
- Create and maintain documentation, including technical procedures and user guides
- Initiate and manage the onboarding process of new clients/family groups including setting up new clients in all firm programs where applicable
- Develop processes to improve client communication, service quality and response times
- Schedule and participate in brainstorming sessions with the client engagement team to improve the overall client service experience
- Answer client calls and address their questions/concerns and assist, direct and/or escalate accordingly to client service engagement team
- Actively assist in the management of Outlook calendars, including but not limited to independently scheduling internal and external meetings, confirming appointments, etc.
- Assist with support and special projects as requested by the client engagement team
- Read, respond, or draft response to incoming emails for the client engagement team; compose routine correspondence
- Leverage Microsoft Office Suite skills (e.g., Excel, PowerPoint, Word, etc.) to assist the client engagement team and our clients in all tasks
- Working knowledge of QuickBooks to upload and process files and assist with other related administrative tasks
Experience
- Bachelor’s degree required, concentration in business administration preferred
- Minimum of 5-7 years of administrative or operations experience supporting a partner and/or senior executives in a fast-paced, confidential, professional services environment
- Strong computer skills and knowledge of the Microsoft 365 Office Suite software’s including Word, Excel, PowerPoint, Teams, and Outlook
- Strong problem-solving skills and the ability to troubleshoot technical issues; must have the ability to learn quickly, and must be process & detail oriented
- Demonstrate skills in the areas of time management, communication, interpersonal skills, high-level of emotional intelligence, relationship building, collaboration, and problem solving
- Ability to incorporate creative approaches to various projects by taking initiative and working independently
- Keen sense of accuracy, attention to detail
- Basic accounting knowledge and experience with QuickBooks a plus
- Experience with Keeper software a strong plus

Pay: $65,000.00 - $80,000.00 per year
